You can move clients who are turning 65 from HealthSherpa ACA into HealthSherpa Medicare in just a few steps. This helps you get a head start on Medicare outreach without having to manually re-enter contact data.
Step-by-step guide
1. Log into HealthSherpa ACA.
2. Go to your Clients tab, and using the Age filter, filter to Turning 65 in 6 months. This filters for any primary applicants who will turn 65 in the next 6 months.
Note: You don't have to use this filter, but it's recommended. See FAQ below
2. Click the Export button to get a CSV file with your filtered list of client records.
3. Log into HealthSherpa Medicare.
4. From your Contacts tab, click Import, and in the Import popup, click Import from HealthSherpa ACA.
5. Press Select file and choose the CSV file you exported from HealthSherpa ACA.
6. Press Upload, then refresh the page to see your newly imported Contacts!
What gets imported
First name & last name (these are the only required fields)
Sex
Phone
Email
Address
City
State
ZIP code
Mailing address (if it's on the export, it will be imported)
Language
Type – we default this to Lead
Notes we add automatically
For every imported Contact, we add Notes to their record, to help with context:
Note 1: All imports get an Imported from HealthSherpa ACA note
Note 2: If there's an effectuated ACA policy on the import, we'll log a note that displays plan details (carrier, plan, premium, effective date)
Note 3: If a spouse is listed on the import, we'll log a note for that.
Drugs
The ACA export doesn't include drug data, but to transfer that over more easily, go to the Contact Detail on HealthSherpa ACA and scroll to Providers & Prescriptions:
Then, either copy all of the text and paste it into HealthSherpa Medicare using our AI-powered RxAssist tool. Or, take a screenshot and upload it into RxAssist.
Deduplication rules
To prevent duplicates, an imported row is skipped if there’s already a non-archived Contact with the same first name and last name and either phone or email.

Do I have to use the Turning 65 filter, or can I upload any ACA export?
You can technically import any exported Client record from your HealthSherpa ACA account. However, we recommend using the Turning 65 filter, since it reliably exports clients who will turn 65 in the next 6 months.
Because the ACA export does not include date of birth, using this filter is the most accurate way to identify age-ins.

If your client didn't import, a few things to check:
Did you refresh the Contacts page after importing?
Is there a duplicate client already in your Contacts list? See deduplication rules above.
Did you change any column names in row 1 of the ACA export file? You can change column sequence/order, but not their names.
