Virtual Meetings in TobeXR

Review XR views together, in real time, from anywhere

Virtual Meetings in TobeXR let teams collaborate inside a shared XR View at the same time, no matter where participants are located.
Invite stakeholders, guide them through the model, control what everyone sees, and keep reviews focused and aligned.

Each meeting supports up to 12 concurrent users (CCUs).


What Happens in a Virtual Meeting

  • One XR View is selected by the host

  • The XR View loads automatically for all participants

  • Everyone sees the same model state, based on host controls

  • Voice, movement, and interactions are shared live

This ensures everyone is reviewing exactly the same information.


Creating a Virtual Meeting (Host)

Virtual Meetings are created at the project level.

How to create a meeting

  1. Log in to TobeXR

  2. Select a project and press Proceed

  3. Open the Project Menu

  4. Select Meetings

  5. Choose users from the project user list

    • Use the search bar to filter users

    • Add users using the + button

    • Remove users using the × button

  6. Enter a meeting name

  7. Select the XR View you want to review

  8. Press Create Meeting

  9. Press Join to start the session

Once created, the meeting becomes visible to invited users. The host is differentiated from participants by the crown worn his/her avatar.


Joining an Existing Meeting (Participant)

How to join

  1. Log in to TobeXR

  2. Press Proceed at the project list

  3. View available live meetings

  4. Press Join on the desired meeting

What happens when you join

  • The active XR View loads automatically

  • You can see other users in the session

  • You can hear other participants (unless muted)

  • Your position is shared in real time


Host Controls

The host manages the flow of the meeting and what participants can interact with.

The host can lock or unlock participant interaction for:

  • BIM visibility

  • BIM transparency

  • Timeline (4D sequencing)

  • V‑Zone clipping

  • Map interaction

  • BIM element selection sharing

When locked, all participants see exactly the same state as the host.


Session management

The host can:

  • Mute individual users

  • Mute all users

  • Gather users to the host’s location

  • Control when interaction is shared or restricted


Participant Controls

Participants can:

  • Join and leave meetings freely

  • Navigate within the XR View (if unlocked)

  • Go to another participant’s location

  • Unmute themselves after being muted

  • View all synced changes in real time


Gathering Users

What it does

Gathering moves users to a specific location in the XR View.

How it works

  • Gather user: Bring an individual participant to you

  • Gather all: Bring all participants to your position

This is useful when

  • Directing attention to a specific issue

  • Starting or resetting a walkthrough

  • Keeping the group aligned spatially


Muting Users

Host actions

  • Mute individual participants

  • Mute all participants

Muted users see their microphone icon update immediately.

Participant actions

  • Participants can unmute themselves at any time


Synced XR Interactions

During meetings, key interactions are synchronised across all users:

Timeline syncing

  • Host scrubbing or playback updates all users

  • Playback speed is shared

  • Host can unlock the timeline for participant control

V‑Zone clipping

  • V‑Zone clipping changes by the host update for all users

  • Participants can control V‑Zones when unlocked

  • Changes are reflected instantly across the session

BIM visibility & transparency

  • Visibility changes are shared in real time

  • Transparency updates apply consistently for everyone

These synced behaviours ensure accurate, shared understanding during reviews.


Leaving a Meeting

Users can leave a meeting at any time.

How to leave

  1. Open the Hand Menu

  2. Select Users

  3. Press Leave Meeting

You’ll return to your project outside the session.


When to Use Virtual Meetings

Virtual Meetings are ideal for:

  • Remote design reviews

  • Stakeholder walkthroughs

  • Construction sequencing discussions

  • Issue identification and resolution

  • Coordinated decision‑making without travel


Things to Know

  • Meetings are created at the project level

  • One XR View is active per meeting

  • Maximum of 12 users per session

  • Host controls determine participant interaction

  • All synced actions update instantly for all users
