Forms Overview & Navigation

Forms is where you manage all your form templates. From here you can search, tag, pin, preview, open a form in Form Builder, and start filling a form internally.

How to use it

Open Forms to see a grid of form cards.

Use Search to find a form by name.

Use Tags to filter forms by tag. The filter label is Tags.

To open a form in Form Builder, select the form card. You can also select the arrow icon on the card.

Form card actions (More options)

Each form card has a More options menu. These options appear:

  • Edit: Opens the form in Form Builder.

  • Preview: Opens the form as read-only preview.

  • Use form: Opens the form ready to fill and submit internally.

  • Pin: Lets you pin the form for quick access, including pinning to the sidebar or into a folder.

  • Details: Opens a details panel for the form.

  • Delete: Deletes the form.

Pinning forms

In the Pin submenu you may see:

  • Pin to sidebar or Unpin from sidebar

  • Pin in folder and a list of available folders

If pinning is disabled, the menu will tell you you need to Publish live before pinning.

Details

Details shows useful form information, including:

  • Published

  • Allow Step Navigation

  • Assigned To (staff id)

  • Steps

  • Fields

  • Created At

  • Updated At

From the details panel you can also Edit or Delete.

Deleting forms

If a form has locked fields, deleting is blocked. You may see Delete (locked).

What happens next

  • Edit takes you to Form Builder to change steps, fields, and settings.

  • Preview lets you review the form without submitting.

  • Use form lets staff complete the form and submit it.

  • Pin adds the form to quick access areas, when allowed.

Troubleshooting

Pin is disabled
This happens when the form is not live. Publish the form first.

Delete is disabled or shows Delete (locked)
Unlock fields first. Check both the form setting Lock all fields and any field-level locks.

I deleted the form but still need the submission
The delete confirmation warns that submissions will only be accessible via PDF. If you need ongoing access in the app, do not delete the form.
