The Display List view in IndyForms lets you see and manage all your form records at a glance.

The Display List view gives you a quick way to review, filter, and manage all records submitted for a form. You can choose which fields are shown in the list, which can be filtered, and even allow certain fields to be edited directly — without needing to open each record individually.


How to Set Up Display List View

  1. Open your form in the Form Builder.

  2. Select the field you’d like to include in the list view.

  3. On the right-hand panel, click the Options tab.

  4. Scroll down to Summary Page Settings.

  5. Choose from the following settings:

  • Filterable → Makes this field available as a filter in the list view.

    Example: filter by Date Due, or by a person’s name.

  • Display in List → Shows the data entered in this field in the records list.

    Great for quickly seeing names, addresses, or due dates.

  • Edit in List → Allows this field to be updated directly from the records list view (if you have edit permissions).

    Helpful for quick edits without opening the whole record.

Tips:

  • Use Filterable on fields you often search by (like status, due date, or location) to save time.

  • Use Edit in List sparingly for quick fields (such as contact person or due date) — it keeps your records tidy without requiring you to open every form.

How to View the List

  • From the Form Builder: click View Records.

  • From an active form: click All Records.

This will open the Form Records list view.


Frequently Asked Questions (FAQs)

Q. Why can’t I see a field in the list view?

A. Only fields with Display in List turned on in the Form Builder will appear in the records list. Check the field’s Summary Page Settings to enable it.

Q. Can I reorder the fields shown in the list view?

A. The list view follows the order of fields set in the form design. To change the order, update your form in the Form Builder and then republish it.

Q. Do all users see the same Display List view?

A. Yes — the fields apply to everyone with access to the form records.

  • Use Filterable fields for quick searching, like by status, due date, or assigned person.

  • Choose Display in List for key fields you want to see at a glance — e.g. client name or address.

  • Turn on Edit in List for fields that often need small updates to save time.

  • Keep your list view simple — too many displayed fields can make it harder to scan records quickly.
