How to Setup A Client Contract For Servicing Assets on Planned Maintenance Schedules

Adding a Contract to a Client

You can set up a new contract by navigating to Clients > All Clients > Click the View button to view the client record you require the contract to be associated with.

By clicking on the Contract Agreements tab you will see all of the contracts associated with this client. Click on the new contract button you will be prompted to add the following

  • Title: The title of the contract

  • Contract Type: The Contract type can be selected from a dropdown list of exiting types or added manually by pressing the spanner icon.

  • Servicing Number: A unique identifier for the contract.

  • Contract Sign Date: The date the contract was signed.

  • Contract Start Date: The Start date of the contract.

  • Contract End Date: The date the contract ends.

  • Terms: You can add the term of the contract here so they are quickly available when required.

  • Attach Assets: Here you can select the assets that are covered under this specific contract. You can search for the applicable assets by name, serial number or scroll the asset list


Contracts Dashboard

The Contracts section gives you the opportunity to maintain and manage all of the contracts you have with your clients. You can view these by going to Contracts > All Contracts.

Here you will see a dashboard that shows the details of all contracts that can be filtered by Client or Contract for ease of access. The main dashboard displays:

  • Title: The title given to the contract when created.

  • Contract Type: The Contract type given to the contract when created.

  • Client: The Client that you have the contract with.

  • Servicing Number: A unique identifier for the contract.

  • Contract Sign Date: The date the contract was signed.

  • Contract Start Date: The Start date of the contract.

  • Contract End Date: The date the contract ends.

  • Status: The Status of the contract will either be, In Contract, Expired, or Expiring if the contract is due to end within 30 days.

You can view the terms of the contract or the assets associated with the contract by clicking on the Details button beside the contract status.

You can also export the data displayed on this dashboard, filtered to your requirements by pressing the Export Contracts button. This will create an Excel worksheet containing all of the information above for each of your selected contracts.


Completed Asset Services

The Contracts section gives you the opportunity to view all of the completed PPM jobs you have completed for your clients associated with a Contract. You can view these by going to Contracts > Completed PPM.

  • Job Name: The name the job was given when created.

  • Category: The Category(s) given to the job when created.

  • Service Name: The name of the service

  • Service Date/Time: The scheduled Date/Time of the service

  • Chargeable: An indication if the work is chargeable, this can be set when configuring the asset. For more information click here.

  • Service Status: This shows the current status of the PPM Service

  • Team Member: The team member assigned to service the asset.

  • Contract: The specific contract that the PPM schedule is being carried out.

  • Complete: An indication if the PPM service is complete.

You can export the data displayed on this dashboard, filtered to your requirements by pressing the Export PPM Report button. This will create an Excel worksheet containing all of the information above for each of your selected contracts.
