Action a refund from your Let’s Do This dashboard

Easily refund participants either by line item or from the total amount. You choose whether to refund as a percentage or an absolute number. This feature gives you total flexibility to refund what you need to, and you can easily see a breakdown of taxes and fees.

How it works

On your startlist, select the entry you wish to refund, and click the Modify button. Here you’ll see the menu of options, if you click Refund you’ll be taken to the refunds page.

You can configure your refund on the Refunds page:

This field is useful for your records, it will show in the refund line item.

Add refund note

This enables you to make a note that will appear as a column in the startlist. You can use this to detail why someone had a refund, or anything particular about that booking. Any notes created here will not overwrite existing notes, but will be shown at the end.

In the next section, you can choose to refund by line item or from the total amount. Selecting line items will show all the line items in that booking, including tickets, add-ons and fees. In both cases, you can choose whether to refund by a percentage or absolute number.

Refund by percentage or absolute number

If you choose to refund a percentage of the total basket cost, it will take that percentage off each line item in the basket. If you refund by a specific amount (say $10) it will divide it proportionally between the line items. This is for tax reasons, and will show in your financial data as having come off the total basket.

If you choose to refund a percentage or absolute number from a single line item, it will only come from that one line item.

If you click ‘View details’ link, you’ll see a breakdown of all taxes and fees.

Cancel and refund

You have the option to cancel the ticket (if there are multiple tickets in each booking) or to cancel the entire booking itself. This will mean the entry in the startlist will show with a status of ‘Cancelled’.

Please note that if you cancel a booking with add-ons, you will still need to go into the Add-ons dashboard to cancel the add-ons, otherwise they could still appear as 'Fulfilled'

FAQs

When will the refund appear in the participant’s account?

It should be in their account within a few days. If they have not received the funds within 10 working days, please ask them to get in touch. Please note that we do not typically send out emails confirming that refunds have been processed to you or the participant, so keep an eye on your Payments tab within the dashboard to track the progress of a refund.

Can I refund a single line item?

Yes you can choose whether to refund a line item or to refund an amount from the total. You have both options, as well as percentage and exact number options. A global refund is always a line item refund, it will come off each item proportionately. So in reporting you’ll see equal amounts refunded rom each line item.

How do add-ons work with refunds?

You have the option to refund an item of merchandise as a single line item. Once this is done you’ll see a link to cancel the add-on and update any fulfilment statuses in the Add-ons dashboard. If you don’t follow this link, the item will remain ‘confirmed’ in your add-ons table and could still be fulfilled. This is because often Organisers want control of their add-ons and fulfilment, so we didn’t want to cancel the add-on automatically. It’s up to you to cancel the add-on in your add-on dash.

Can I cancel the booking at the same time?

Yes, you can cancel individual tickets in the booking, or the whole booking at once. These entries will show as ‘Cancelled’ in your startlist.

Who pays for the refund?

The Event Organiser pays for the refund. In most cases Let’s Do This retains their commission and the Organiser covers the short fall from their Stripe account. Make sure to have enough funds in your Stripe account to action refunds.

How do taxes work?

The tax will be automatically refunded, you can see this amount in the ‘View details’ dropdown on each line item and on the total.

Can I do this in bulk?

In order to do bulk refunds, you need to get in touch with your TAM and send through a list. Our devs will make it happen.

Can I refund a membership?

Standalone membership purchases cannot be refunded via LDT.

Can I refund a payment plan ticket?

You cannot refund tickets bought as a payment plan.

Can I refund one member of a team or group booking?

Yes, if you select refund by line item you can choose which ticket to refund. Note that the refund will go to the original payment method of the person who made the booking.

Can I refund a bundle

Yes, if you select refund by line item you can choose which ticket(s) to refund.
