How to Manage Collaborator Permissions

TL;DR: You can safely share your account with tutors or family members by choosing exactly which students and features they can see and manage.

When you bring a tutor or caregiver into your LearnSpark experience, you stay in control. You don't have to share everything. You can set specific permissions so they only see what is relevant to them.

This helps keep your student's data private and ensures your collaborators focus on the right tasks. Whether you are working with a math tutor or a family member, you decide their level of access.

How to Manage Collaborator Access

To invite someone or change what they can see, head to your Settings and find the Account Access or Collaborators page. Use the following steps to set them up:

  1. Enter the collaborator's email address to send an invite.

  2. Choose a Permission Level. An Admin has full access to all features, while a User has standard access for teaching and planning.

  3. Select Allowed Students. Use this to pick exactly which student profiles the collaborator can view.

  4. Select Allowed Features. You can check or uncheck specific areas like Lessons, Adventures, or Projects.

  5. Send the invitation! The collaborator will receive an email with a link to join your account.

πŸ’‘ Good to know: If you don't select a specific student for a collaborator, that student's profile, lessons, and progress will be completely hidden from them.

Understanding Permission Levels

There are two permission levels you can assign to anyone you invite. Both levels can be restricted further by choosing specific students and features.

  • Admin: This is best for a co-parent or a lead teacher. They have full access to all features and can manage other collaborators.

  • User: This is perfect for tutors or occasional helpers. They can use the features you allow, like teaching lessons, but they cannot change your main account settings.

By combining these levels with Allowed Features, you can create the perfect setup. For example, you could give a tutor User access but only allow them to see the Lessons feature for one specific student.

Security and Privacy

Your privacy is very important. Collaborators do not have access to your Stripe subscription details or your credit card information.

They can, however, see how their actions use SparkAI credits when they generate content. If you ever need to stop sharing your account, you can remove a collaborator instantly from the Account Access page.

⚠️ Heads up: Only the account owner can access the "Danger Zone" in settings to delete the account. Collaborators cannot delete your data or your account.

Are there "view-only" or "editor" roles?

No. To keep things simple, LearnSpark uses two levels: Admin and User. You can customize what a User can do by restricting them to specific students or features.

Can I limit a tutor to just Math lessons?

Currently, you can limit collaborators to specific features (like Lessons) and specific students. You cannot limit them to specific subjects within the lesson planner yet.

Can I change a collaborator's permissions later?

Yes! You can go back to the Account Access page at any time. You can add or remove students and features from their permissions list whenever you like.

Do collaborators use my SparkAI credits?

Yes. If a collaborator generates a lesson, it will use the SparkAI credits from your main account balance. This ensures all your learning data stays together.

Can a collaborator see my other students?

Only if you specifically select those students in the Allowed Students list. Otherwise, those students remain private and hidden from that person.
