Using an existing slot vs Creating new slot

When creating a new booking, you can choose either to use an existing slot or to create a new slot. Here’s a brief overview of both options:

  • Using an Existing Slot: This option allows you to select from your pre-established slots. These slots, which were set up using "Default Slots", can be configured for online bookings. Only slots that are not currently booked will be shown. Note that if you book a slot, it will no longer be available for online reservations.

  • Creating a New Slot: Choosing this option adds a new, one-time slot to the existing slots for that day. This allows for additional bookings beyond the default slots.

You have the option to either use an existing slot or create a new slot when making a booking. Here’s how to do both:

Creating a new booking "Using Existing Slot"

  1. Access the Scheduler from your dashboard

  2. Click on the "New Booking" button.

  3. By default, "Using Existing Slot" will be selected.

  4. Enter the customer and vehicle details.

    • Input the vehicle registration to search or an excising vehicles. This will prompt a popup asking if you would like to use the owner of the vehicle for the booking.

    • Alternatively, input the customer name to search for an existing customer. Select the "customer vehicle" option under the vehicle search bar to choose the correct vehicle.

    • You can also add a new customer and/or vehicle if needed.

  5. Select the required slot type and adjust the date if necessary.

  6. In the window below, you will see available time slots for the chosen slot type. Select the desired time slot and click "Create Booking."

Note: Slots booked using this option will no longer be available for online booking. If a slot is booked, it will be removed from the list of available slots for online customers.

Creating a new booking using "Create New Slot"

  1. Access the Scheduler from your dashboard.

  2. Click on the "New Booking" button.

  3. Choose the "Create New Slot" option.

  4. Enter the customer and vehicle details. If they are not in the system, click "Create New Customer" or "Create New Vehicle" to add them.

  5. Choose the required slot type, adjust the date if needed, and select the technician and/or bay.

  6. You will see suggestions based on your selections. A grid will display the availability of the selected technician/bay. Grey sections indicate unavailable times.

  7. Select an available slot from the grid and click "Insert Booking" to finalize the reservation.
