This guide will walk you through how to use the scheduler

This guide outlines the steps for creating and managing bookings, jobs, and appointments within your scheduler. Follow the instructions below to efficiently utilize the available features.

Creating a New Booking, Job, or Appointment

Using the Top Menu

Access the scheduler, then from the top menu you can select options to create the necessary document, such as a booking, job, or appointment.

Right-Click on Cells

Right-click on the desired time slot to access options for creating a booking or appointment.

  • Note that the availability of these options depends on the scheduler configuration and the type of document being displayed.

Searching for Jobsheets

Using Jobsheet Search

  • Utilize the Jobsheet search feature located on the left side of the scheduler to locate the required jobsheet. The search filters have been updated to include the following options:

    • Jobsheet Status

    • Technicians

    • Custom Status

    • Order By

    • Jobsheets with Unassigned Tasks: Displays jobsheets with tasks that have not yet been assigned. Only items that can be assigned and have available hours will be shown.

    • Jobsheets with All Tasks Complete: Shows only jobsheets where all tasks have been completed.

Managing Capacity

Adding Tasks

When attempting to add a task to a slot without sufficient room, the "Create Tasks" window will open. This feature allows you to spread the task over multiple time slots to fit within the available schedule, preventing overbooking of the technician. For example, if you try to fit an hour-long task into a 15-minute slot, the system will suggest breaking it into a 15-minute task now and a 45-minute task later.

  • You can choose to "Ignore Availability" if you are confident that the task can be accommodated within the current schedule.

Managing Jobsheets

Dragging and Dropping Jobsheets

If Jobsheets are enabled, if you need to move a jobsheet to a different time/technician you can drag and drop them to the desired time slot and technician.

  • Note that dragging jobsheets is disabled if they span multiple days. In such cases, you need to adjust the start and end times in the jobsheet window.

Assigning All Unassigned Tasks

If Tasks are enabled, you can assign all unassigned tasks at once by using the "Assign All Unassigned" option under the jobsheet.

This action stacks all unassigned tasks under the selected technician and time slot. The "Create Task" window will prompt you to confirm the creation of the tasks and the start date/time.

and then will ask for confirmation of the tasks being create showing the times these task will take place based on the start time selected in the prior window and the amount of time against each of the tasks.

Managing Appointments

Dragging Recurring Appointments

When dragging a recurring appointment, you will be prompted to choose whether you are moving the entire series or just the individual appointment.

Resizing Appointments, Jobsheets, and Tasks

To resize, hover over the top or bottom of the appointment, jobsheet, or task preview and click and drag to adjust the time. Note that resizing is not available for jobsheets spanning multiple days. If you resize an appointment, jobsheet, or task over an occupied slot, the preview will adjust accordingly without triggering the "Create Task" window.

Cell Options

Single Clicking

Single-clicking on an appointment, booking, jobsheet, or task will display a detailed preview of the document.

Right Clicking

Right-clicking on a document will provide a context menu with options related to that document. For example, right-clicking on a task will present options such as "View Task," "Clock On," and "Complete."
