Add a Note to Inventory

How to add a note to inventory in a variety of ways.

With Logiwa, you can easily increase, decrease, or adjust the inventory amounts of products. You can also add notes to inventory changes, such as making a note when increasing inventory. Read below to learn more about how to make these notes and where to track them.


Add a Note when Adding Inventory

There are two ways you can add a note while adding inventory, from the Total Inventory page or from the Inventory by Location page. You can learn about both methods from the sections below:


Add from Total Inventory

  • To use this method, select the Add Inventory button from the upper right-hand corner of the Total Inventory screen.

  • The Add Inventory sidebar will open. You can now select or search the following fields, defined below, to find your product:

Field

Description

Warehouse*

Select the warehouse to be searched from the dropdown menu.

Location*

Type the location to be searched and select it when it appears.

Add LP Number (+)

If you need to add an LP number, select the + button to access this field. Type to search for and select your LP number.

Client

Select the client to search by.

Product

Type to search for and select your product.

Pack Type*

Once you find your product, the pack type will be automatically selected. It cannot be modified here.

  • Once you've found your product, you can add inventory by filling the Free Quantity field. Any quantity added will be added to the existing total inventory.

  • You can now add a note. Select the (+) from the same line as Add a Note to expand this section. You can also expand the Add Damage Reason if you wish to use this section.

  • Notes have a limit of 400 characters. The total number of character you've used will be shown on the left side of the 0/400 count.

  • Click Save to save your changes. You will receive a confirmation message if the inventory was added successfully.


Add from Inventory by Location

Please note that this method only works with products that currently have inventory, as those without will not appear on this list.

  • To use this method, navigate to the Inventory by Location screen.

  • Find your product from the list of items with inventory. Select the 3 Dots menu from the same line and click Add.

  • The Add Inventory sidebar will open. The Warehouse, Client, Product, and Pack Type will be shown for reference. Your current free quantity for this item will also be displayed.

  • Add inventory by filling the Free Quantity field. Any quantity added here will be added to the existing total inventory.

  • Once you've entered the quantity to be added, you can add a note. Select the (+) from the same line as Add a Note to expand this section. You can also expand the Add Damage Reason if you wish to use this section.

  • Notes have a limit of 400 characters. The total number of character you've used will be shown on the left side of the 0/400 count.

  • Click Save to save your changes. You will receive a confirmation message if the inventory was added successfully.


Add a Note when Adjusting Inventory

Please note that this method only works with products that currently have inventory, as those without will not appear on this list.

  • Navigate to the Inventory by Location screen.

  • Find your product from the list of items with inventory. Select the 3 Dots menu from the same line and click Adjust.

  • The Adjustment sidebar will open. The Warehouse, Client, Product, and Pack Type will be shown for reference.

  • You can now adjust inventory by filling in the Free Quantity field. Whatever quantity you enter here will become the new inventory quantity for this item.

  • To add a note, select the (+) from the same line as Add a Note to expand this section.

  • Notes have a limit of 400 characters. The total number of character you've used will be shown on the left side of the 0/400 count.

  • Once you've entered the necessary information, click Save to save your changes. You will receive a confirmation message if the inventory was adjusted successfully.


Add a Note when Removing Inventory

Please note that this method only works with products that currently have inventory, as those without will not appear on this list.

  • Navigate to the Inventory by Location screen.

  • Find your product from the list of items with inventory. Select the 3 Dots menu from the same line and click Remove.

  • The Remove Inventory sidebar will open. For reference, you can see the recorded Warehouse, Client, Product, and Pack Type for this product.

  • You can remove inventory by filling the Free Quantity field. The number you enter here will be subtracted from the free quantity.

  • Once you've entered the quantity to be removed, you can add a note. Select the (+) from the same line as Add a Note to expand this section. You can also expand the Add Damage Reason if you wish to use this section.

  • Notes have a limit of 400 characters. The total number of character you've used will be shown on the left side of the 0/400 count.

  • Click Save to record your changes. You will receive a confirmation message and the inventory will show the updated totals.


View Added Notes

This section will explain both what screens to navigate to find your notes and how to enable them on reports, as they are not shown by default.

Where to View Notes

  • Notes made when you add inventory can be viewed in your Receiving History.

  • Notes made when you remove inventory can be viewed in your Shipment History.

  • Notes made when you adjust inventory can be viewed based on whether you added or subtracted inventory. If you added inventory, you'll find them in Receiving History. If you removed inventory, you'll find them in Shipment History.


How to Show Notes Column

The Note column is not automatically shown on reports. The steps to make it visible are the same on the Receiving History and Shipment History screens.

Click on the 3 Bar icon on the right side of the screen and scroll down to the Note toggle. Enable it and click Apply.

The screen will refresh and display the Note column. The below example shows the Receiving History screen with Note column added.
