Inventory may not be sufficient to fully fulfill an order every time. In such cases, a back order can be generated in the system. There are two options available for creating a back order: automatic and manual. This article will cover both topics.
Automatic Creation
Back orders can be managed automatically in the system when the Create Back Order toggle in the Shipment Order Type data setup matches the shipment order type used.
For example, say there is an order with 10 items (SO1) and just 5 items left in the warehouse.
Shipment Orders
SO Code | SKU | Quantity | SO Status |
SO1 | SKU1 | 10 | Open |
Inventory
SKU | Quantity | Location | Status |
SKU1 | 5 | LOC1 | Stock |
When the job is created for the related order, the order will be separated into two different orders.
Shipment Orders
SO Code | SKU | Quantity | SO Status |
SO1 | SKU1 | 5 | ReadyToPick |
SO1_1 | SKU1 | 5 | Open |
Inventory
SKU | Quantity | Location | Status |
SKU1 | 5 | LOC1 | Allocated |
Here is an example from the system:
Create Manually
If the user is aware of the inventory level, and if the inventory level is insufficient to fulfill the order completely, a back order can be manually created using the Warehouse Operations button.
Please note that "Create Backorder" button can be used to create backorder manually even when the "Create Backorder" parameter is disabled in the Shipment Order Type setup.
The remaining process is the same as normal job creation.
In the next step, users can select a job type and batch size.
