Overview
If your team utilizes the tagging section, sorting is the second step in the listing process. During Sorting, containers from stores arrive at the warehouse. Your team checks in and sorts the items. This article will cover the features and workflow of the Sorting section on the Collectibles side of Neatoscan. Due to the user permissions set up for your account, your interface of the Sorting page may vary from the one shown in this article.
Sorting Process
The sorting process begins at the warehouse level. Once the containers have arrived at the warehouse, the user will sort, accept, or reject the items received. The steps below will explain this process in more detail.
Checking In Containers
The first step of sorting is checking in the containers you have received. You can do this by either scanning the barcode label attached to the container or typing it in manually if there isn’t a barcode label attached.
Suspending Containers
If you can’t finish sorting a container by the end of the day, you can suspend it to resume sorting again later. This will mark the container as “received” in our system. To suspend a container, follow the steps below.
Checking In Items
Once your container has been scanned in for sorting, scan the items inside of it one by one. Each item will have a barcode attached to it. If your stores don’t print barcodes for the items, you can right-click the items in the pending list and select Check in instead. Once you scan an item's barcode or right-click and check in, the item will load up on your screen. From here, you can select how you would like to sort it. If you scan an item that was not in the container manifest, it will be put in the Unexpected folder. If an item is missing, you can mark it as missing, and it will move to the Missing folder. More detailed instructions are shown below.
Checking in Items Without Barcodes
On the left side of your screen, find your item and right-click on it.
Click Check-in on the pop-up menu.
Print out the item's label and place it on the item. (do this unless you plan on rejecting the item)
Select a sorting action you would like to perform. (Sell online is selected in this example). Once the action is selected, the item will be sent through to that action.
Checking in Items With Barcodes
Scan or type in your item's barcode label. (Typing is demonstrated in this example).
Select a sorting action you would like to perform. (Sell online is selected in this example). Once the action is selected, the item will be sent through to that action.
Sorting Actions
There are eight options available when sorting items. These options are shown below.
Sell Online: Choosing “Sell Online” will send your items to your inventory in a “Sorted” status, so they can have photos, categories, and other details added before listing.
Combine: When you choose to combine the items, a pop-up will display that will allow you to scan the other items you would like to combine into one listing. After you scan all of the items, give it a new title and then choose Combine All, which will print a new label for the combined listing. (You can throw away the old stickers.)
Split: Split is necessary when items that are bundled would be better sold as separate listings. When the bundled items tag is scanned, select split. A window will pop up where you can name each item being split and select Add New Item after each one. After all items have been added, choose Split to print out the new labels.
Lot Auctions: This should be selected if the item isn’t worth selling by itself, so it will be held to the side until you are able to sell that item with others as a “Lot.” When choosing this option, you will throw out the old barcoded tag, and once you have enough items to list a combined lot, you will generate a new tag.
Sell at Outlet: This is similar to rejecting the item but is more specific to where it will go after being rejected. This would be selected if it's decided that an item would be a better fit for the outlet store.
Reject: When this is chosen, the pop-up will prompt you to choose a reason for rejecting the item. Once that is selected, you are able to continue by selecting Reject below the listed reasons.
Sell at Boutique: This is similar to rejecting the item but is more specific to where the item will go after being rejected. If the item is better fit to be sold at the Boutique, this option would be selected instead.
Move to Container: If you have an expert who works on one category of item, you can use this feature to move it to a specific category of item container for that expert to work on at a later time.
Marking Items as Pending
In the sorting process, if you choose to reject an item instead of selling it online or another action, you can reverse the sorting action by marking the item as pending. To mark an item as pending, right-click the item in the “Confirmed” tab on the left side of your screen. From here, you will choose “Mark as Pending”. This will send the item back into a pending state where you can check it back in and sort it. The steps for this process are shown below.
Right-click on your listing from the Confirmed or Missing folders.
Select Mark as pending from the pop-up menu.
Marking Items as Missing
Marking an item as missing is very similar to the process of marking an item as pending. You begin by right-clicking the item in the Pending tab on the left side of your screen. From here, you will choose Mark as missing. This will take the item out of the pending status and place it in the Missing tab, which will allow your containers to be completed even if you don’t have that item.
Finishing the Container
Once you’ve sorted all of the items in the container, you will be able to finish the process by selecting Finish Container. You can now move on to the next container you would like to sort, or if you’re finished, move on to the listings. The Finish Container button is shown below.
