FAQ: State Exemption Tax Status

1) How do I know if my organization is tax-exempt?

Check with your finance or accounting department. Most nonprofits, schools, and government entities have a certificate on file.

2) Is my product taxable in my state?

Taxability varies by state and product type. If you believe you are exempt, we recommend submitting your certificate to our team for review.

3) Why is Bonterra charging sales tax now?

We are updating our compliance practices to align with state tax regulations, requiring us to collect sales tax on taxable products in Virginia and Indiana.

4) Can I get an extension on the June 25 deadline?

Unfortunately, we cannot guarantee exemption status will be applied in time for July invoices if submitted after June 25.

5) What happens if I submit my certificate after July 1?

Sales tax may be charged until your exemption is verified. We typically cannot retroactively remove tax once invoiced.

6) Can I just email the certificate directly?

Please use the support portal for tracking. Replying to the case confirmation email is the quickest way to attach documents.

7) What file formats are accepted?

PDF is preferred; JPEG or PNG image files are also acceptable.

8) Who should the certificate be made out to?

Make the certificate out to: Bonterra Tech, Inc. or include our legal business name as required by your state.

9) Will I be refunded for taxes charged before my certificate is processed?

Typically no - submit your certificate before the deadline to avoid unnecessary charges.

10) How will I know my exemption was accepted?

You will receive a confirmation once your exemption is validated and applied.

11) Will I need to resubmit each year?

It depends on your state’s rules. Virginia's exemption certificates are valid until the Department of Taxation issues notice otherwise, and Indiana's do not expire. We will notify you if renewal becomes necessary.

12) Where can I find my state’s exemption certificate?

Visit your state’s Department of Revenue website and search for "Sales Tax Exemption Certificate."

13) What if my state does not require a certificate?

Submit documentation proving your exemption, and our team will follow up if necessary.

14) My organization qualifies, but we do not have a certificate. What should I do?

Submit any available documentation (such as your IRS nonprofit determination letter), and we will contact you if additional information is required.
