Job Requisition Process

Part I: Catering Forms for Job Requisition

These forms can include general requests such as job title, reason for the new position, type of contract, and options for file uploads. The form will be attached to the requisition that is why we have to create it first. There are no limitations on how many questions you can add to these forms.

To create a form: go to Template > Forms and Documents > New Form> Save

Part II: Creating the Workflows

Admin users can create various workflows: Templates > Job Requisitions > New Workflow

Each workflow might be associated with a specific form, which details the questions and information required from the approvers when the job requisition is raised.

Please provide a workflow name, which could relate to a job title or role (e.g., internal/external, senior level, etc.)

Next, specify if this new hiring flow should be set as a default one; select YES if it should automatically apply whenever a job requisition is raised, or NO if it is specific to a role. Attach the relevant form by clicking YES and selecting a form from the dropdown menu if needed.

Keep creating the approval stages by clicking on +Add Stage, assign a name (e.g., Team Lead Approval)

Create the approval stages by clicking on +Add Stage, assign a name (e.g., Team Lead Approval), specify the number of approvers, and decide if they can modify information in the job requisition. You can add either Occupop users or/and external approvers.

Attach existing Occupop forms to this stage or upload them from your device if required. Once it is done, save the stage and add more stages if necessary.

Enable the toggle Make mandatory for all job posts at the top of the page to require raising job requisitions for every new role.

Part III: Raising Job Requisition

If the job requisition process is mandatory, users will not be able to post new jobs without completing a new job requisition.

  1. Provide the job title and select the appropriate workflow from the dropdown menu. The steps will then become visible.

  2. Add notes for the approvers by clicking on Add Notes next to the stage and approver details.

  3. Once everything is selected, click Send for Approval. A confirmation banner will appear to inform that the job requisition has been successfully raised.

The first approver will receive an email about the new job requisition and can view the information provided in the form. If enabled, they may modify the information before approving or rejecting the requisition. Next approvers receive similar notifications in order - once the previous stage has been approved.

Once the entire job requisition is approved, the user who raised it will be notified via email, and the job requisition status will be updated under My Jobs > Job Requisitions.

Note that regular users typically do not have access to this tab by default, but Admin users can enable this option under Team > Users > Edit > Enable the Job Requisition option.

Once approved, the job requisition will be listed as Approved. To post a job, click on Open Draft next to the job title, add all relevant information about the role, and publish it.
