How do I "Quick Log" a 9 Hole Event?

Learn how to use Quick Log to record 9-Hole Event scores, notify golfers, and trigger milestones from the Operation 36 web app.

Overview:

Running 9 Hole Events is an integral part to the success of your Operation 36 program. When you log a 9 Hole Event it automatically triggers numerous parts of the program in the background that truly brings your program to life.

In this article we are going to go over how to use the "Quick-Log" feature on the 9 Hole Events web app to log an event and automatically send emails that notify your golfers of their scores.

Logging an Event:

Note: The only way to log a 9 Hole Event is on the web app. There is currently no way to log 9 Hole Events via the mobile app.

Before you begin, make sure you're on the 9 Hole Events page in the Operation 36 web app. Once there, navigate to the top right corner button "+ Log Event" This will launch the 9 Hole Event creation wizard.

Step 1: Manage Roster

The first step in logging your 9 Hole Event is managing your roster of participants. This screen is broken into two sections.

  • Populate Roster

  • Roster Summary

Populating the roster is easy. You have three options to choose from.

  • Search Programs

  • Search Programs + Packages

  • Search Students

Searching programs and students is straight forward. Simply choose a program and or search for an individual student to begin populating your Roster Summary screen. These two can also be used interchangeably to build customized rosters.

You also have the ability to populate your roster at the package level. This means you can choose a program and within that program you can select a specific package.

For Example: You have two packages for your 8 week class. Package one "Fall Program Tuition + 9 Hole Events" includes the 9 hole events but package two "Fall Program Tuition" does not. In this scenario you would populate your roster using "Search Programs" and then select the package Fall Program Tuition + 9 Hole Events". This would populate your roster with that program but it would only be the golfers who paid for the 9 Hole Events.

Now that your Roster is complete. Select "Next" in the bottom right corner of your screen. This will take you to the "Log Scores" page.

Step 2: Log Scores

Logging your 9 Hole Event scores is quick and easy. The only thing you need to do as the Coach is input the scores for each golfer and hit next. That's it!

We of course encourage you to input as much of the greens and putts data that you can. This data will be really powerful to have in the long run when you start pulling player journey reports.

Let's dive into what each column on this scores page means.

  • Golfer:

    • Clickable profile picture of each golfer with their current formal level badge.

  • Level Attempts:

    • How many times they have attempted the specific level chosen in the level column. This updates in real time as you cycle through the levels in the Levels column using the drop down menu.

  • Baseline Score:

    • This is the score that the golfer shot on their first attempt in that specific level. This updates in real time as you cycle through the levels in the Levels column using the drop down menu.

  • Record Score:

    • This is the best score the golfer has shot in that specific level. This updates in real time as you cycle through the levels in the Levels column using the drop down menu.

  • Level:

    • These auto-populate based on the golfers formal level. You can also manually choose different levels if a golfer wants to go back and try a previous level to beat their record score.

    • This column controls the rest of the columns data points. As you choose different levels you'll notice the Baseline Score, Record Score and Milestones update in real time.

      • Levels 6-10 are at the full tee box and will auto-populate the lowest yardage for each level. Since every golf course has different yardages for their tee boxes you may have to manually type in the yardage at your specific course.

        • Level 6 (1801 - 2100 Yards)

        • Level 7 (2301 - 2600 Yards)

        • Level 8 (2601 - 2900 Yards)

        • Level 9 (2901 - 3200 Yards)

        • Level 10 (3201+ Yards)

  • {Optional} Greens (Greens In Regulation):

    • The percent of time a player is able to hit a green in regulation. A green is considered ‘hit’ if the birdie stroke on the hole is taken from the green.

    • Levels 1-6 are all par 4's and on the Operation 36 score card we track greens. So if you're inputting the data from an Op 36 score card it's easy to add this one in.

      • Tracking Greens is important for two reasons

        • Provides a data point on overall ball-striking. It is very difficult to have a great ball-striking day without hitting many greens.

        • Provides a measurement on how many birdie putts a golfer has.

  • {Optional} Putts:

    • How many putts the golfer took. This is important to track to see if your golfer needs more help on putting or chipping to beat 36 in their level.

  • Score:

    • This is the only input on the Log Scores page that is a requirement for you to fill out. The total round score for each golfer gets inputted here. This input automatically triggers the milestone column.

  • Milestone:

    • These are automatically triggered based on the Score input. There are currently two milestones that get triggered.

      • Level x Passed!

        • This gets triggered anytime a golfer scores 36 or better and passes the level.

      • New Personal Best

        • This gets automatically triggered anytime a golfers score is better than their Record Score column. It will also add "Improved by x strokes"

If you forgot to add a golfer and don't want to loose your progress - you can select the "Add Golfer" button by scrolling to the bottom of the Log Scores page.

If you want to remove a golfer you can hit the trash can symbol all the way to the right of the golfer.

When you finish inputting your golfers score data, navigate to the bottom right corner and select "Next" this will take you to the Post Scores page.

Step 3: Post Scores

The final step is the Post Scores Page. This is where you'll add a photo and some details of your event.

  • {Optional} Header Photo:

    • This is a great way to make your 9 Hole Event post look more engaging for your golfers. We suggest taking a group shot of your participants and or a shot of the course on the day.

  • Event Title:

    • This will be the title of your event and the title of the post in the community feed.

  • Event Date:

    • This auto-populates to the day you're logging the event. So just make sure if you're logging the event the day after that you update the date field.

  • Location:

    • This is where you can add the course your event took place at and when your facility has multiple courses you can specify which one this event took place at.

      • i.e. Keith Hills White Course

  • {Optional} Description:

    • The description is a great way to wrap up the event and get golfers excited about the next one. Congratulate everyone who participated and personalize this to get the most engagement.

  • {Optional} Send Leaderboard via Email?

    • If you choose to turn this on, golfers who attended the event will be notify immediately via email after you publish the event scores.

Note: Milestone triggers will automatically send regardless if you toggle "Send Leaderboard via Email?" on or off.

  • Level x Passed!

  • New Personal Best
