Overview
The RSVP feature allows coaches to easily track attendance and manage their 9 Hole Event Rosters all within the Op 36 platform. This automates email communication, simplifies attendance management, and enhances your 9 Hole Event planning experience.
Setting Up RSVP
Navigate to the 9 Hole Events builder by editing or creating a new Event Series.
Good to Know: If you're unfamiliar with creating an event series, refer to our separate guide: How do I set up a 9 Hole Event Series.
Within the Series Details tab, you'll see Communication Settings this is where you can configure when to send each of the RSVP notifications.
You can setup two automated notifications. These will be identical emails sent on different days.
In this example we set the first notification to go out 5 days before the event and the final notification to go out 2 days before the event.
Event Series set up in the past will by default be set to Do Not Send. This means you will need to go into each past Event Series and turn it on.
Good to Know: You can also send emails individually to remind specific players, who haven't responded to your first two emails, inside the events roster page. Click the menu to the right of the player under the Actions column and choose Send RSVP Reminder
Write Your Email Content: Add a customized description for your RSVP emails. This can include details about the event and any instructions that you want your players to know.
Here is an easy template that you can copy and paste into your description.
Sending and Managing RSVP Emails
Once configured, RSVP emails are automatically sent to everyone in your event’s Master Roster based on the rules you set.
Here is what the email looks like.
What do your families see?
Each family will receive an email prompting them to RSVP to the event. Families can RSVP directly inside their mobile app by clicking the "Confirm in Mobile App" button within their email. This action redirects them to the Operation 36 app, where they can mark their attendance and add notes if necessary (e.g., requesting a specific tee time).
Viewing and Updating Responses
As families and players respond, their status will appear in your event roster, including any notes they provide (e.g., preferred tee times or playing partners).
You can manually update a player's status if they inform you of changes outside the RSVP system.
Simply access the roster and update their attendance.
Logging Scores After the Event
Only attendees will be moved to the score-logging screen for efficiency. This means any player with a "Not Attending" and "No Response" RSVP will not be added to the final log scores screen. You can still add golfers individually if they show up unexpectedly or update their status as necessary.
This saves time by automatically excluding non-attendees, streamlining the score logging process.
