Online Ticket Management (OTM) Reporting and Ticket Refunds

Learn how to track event ticket sales, audit gate redemption numbers, and handle ticket cancellations or refunds.

Online Ticket Management provides real-time audit visibility into gate attendance and sales volume, giving athletic directors and financial staff accurate accounting data before, during, and after events.

Auditing Event Attendance with the Ticketed Products Report

The primary management tool for event auditing is the Ticketed Products Report:

  1. Log in to the Edlio Pay administrative portal.

  2. Navigate to the Reports section and expand the Product Reports group.

  3. Select Ticketed Products.

  4. Filter by your school, the specific event item, or a target date range.

  5. The generated report breaks down tickets into two clear columns:

    • Redeemed Tickets: Total tickets scanned or redeemed at the gate, including exact timestamp records.

    • Not Redeemed Tickets: Purchased tickets that have not yet been checked in.

  6. Export the report to Excel or PDF for athletic department filing and cash reconciliation audits.

Handling Ticket Refunds and Order Cancellations

When an event is rained out, rescheduled, or a patron requests a refund, administrators process the credit card reversal through standard Edlio Pay refund procedures:

  1. Navigate to Reports > Order Summary (or Transactions) and locate the patron's order number.

  2. Review the Ticketed Products Report first to confirm whether the ticket has already been marked as Redeemed. As a best practice, verify that tickets for past events were not redeemed before approving a refund.

  3. Click on the order details and initiate a full or partial refund for the ticket line items.

  4. Enter the refund amount, select the reason, and process the card reversal.

  5. Once refunded, the ticket record is invalidated in the system database so the barcode cannot be redeemed at the gate.
