Register A Participant After Close Date With Proxy Registration

Even after a registration deadline has passed, Admins sometimes receive requests from participants who still want to register. With Proxy Registration, Admins can register participants for closed seasons up to 180 days past the close date.

How It Works

When using Proxy Registration, Admins can see both open and closed seasons. Closed seasons are displayed in red with additional text indicating they are past their deadline. Public users can only see open seasons, and their registration experience is not affected.


Important Notes About Close Dates

Season-level close dates vs. grouping-level close dates:
Proxy Registration overrides the season-level close date, but it does not override close dates set at the grouping level. If a grouping has its own close date and it has passed, that grouping will not be available through Proxy Registration. To make it available, remove or adjust the close date on that specific grouping.

Unique close dates on sub-groupings:
Close dates can be set individually for each sub-grouping or age group. If any of these are active and past their deadline, the season becomes unavailable for Proxy Registration until those dates are removed or adjusted.

Fixing a season that appears closed too early:
If the registration close date was set to an earlier date than intended, the system treats the season as closed. To fix this, update the open and close dates under Setup. Make sure the open date is set to the desired future date and the close date falls after it.
