What to do if your reports are not displaying information the right way

Planniac has reports like Daily Report, Housekeeping Report, Kitchen Report, Restaurant Report, In-House Guest Report, and Tours & Transfers Report. These reports are meant to be daily summaries & department tools.

What if activities and tasks are appearing on the wrong days on reports? Or not appearing at all?

Planniac gets its data from Cloudbeds PMS. So the first thing to check, if there seems to by a problem with things not appearing where the should, is whether the reservations have been properly checked in and checked out on your Cloudbeds account.

  • If a room has not been checked in, it won't show "Checked In" on the reports on the check-in day. This will affect the daily report, housekeeping report, in-house guest report and restaurant report

  • If a room has not been checked in, on the next day it may not show up as in-house or as a stayover.

  • If it has been checked in but never checked out, it will disappear from the reports. But this could be a problem for you if the guest decided to stay longer and you did not make the change in Cloudbeds. So it won't show up as in-house or stayover any more.

How do I fix it if I think there is a synchronization problem with Cloudbeds?

Take these steps:

  1. Check on your Cloudbeds PMS account to be sure the guest was properly checked in or checked out.

  2. Make any changes on Cloudbeds that you need to, and then return to Planniac and use either Update or Refresh to refresh the connection. Sometimes it can take a minute or two

  3. If that has not fixed the problem contact Planniac support and we will treat the matter with urgency.

What to do if it has a red RES CANCELLED on the Planns screen?

That happens when a reservation was cancelled on Cloudbeds but you had scheduled an activity or task for that reservation. If that happens, just change the activity status to "Reservation Cancelled" and it will grey it or hide it (based on the Admin Settings > Status Lists).


What if it says CHECK DATES on the Planns screen?

That means the activity or task that was scheduled is outside the dates of the reservation. This can happen if:

  • The reservation dates were moved

  • The activity is scheduled before or after the stay intentionally

  • The activity was scheduled by mistake
