The Zapier Integration section gives you the tools to connect Podyx to 6,000+ apps — including CRMs, project management tools, invoicing platforms, and, most importantly, your calendar.

Zapier makes it easy to automate repetitive tasks and build powerful workflows without needing to write a single line of code.

Right now, this is the best way to simulate a two-way calendar sync — allowing events added in your external calendar to automatically block off time in Podyx.

🔍 Where to find it:

Admin Panel → Studio Settings → Zapier Integration

⚙️ What you can do with it:

  • Automate calendar sync (Google Calendar → Podyx)

  • Send booking data to tools like Notion, Monday.com, Trello, or Slack

  • Trigger invoicing flows in platforms like QuickBooks or Xero

  • Create custom workflows to manage bundles, sessions, or leads

The most popular use case:
📅 Automatically block time in Podyx when an event is added to your calendar

🧪 How to Set It Up

✅ Step 1: Generate Your API Key

Inside the Zapier Integration tab:

  1. Click “Generate API Key”

  2. Copy the key — you’ll paste this into Zapier when creating your Zaps

🔐 This key authenticates your studio’s connection between Zapier and Podyx

🧰 Example: Simulating Two-Way Calendar Sync

By default, Podyx only pushes availability to your calendar — but not the other way around. Using Zapier, you can simulate incoming events and have them block off booking time in your Podyx calendar.

🔄 How to Create the Zap:

✨ Zap 1: Create or Update Slot Blocker

Use this to block time in Podyx when something is added to your calendar.

Trigger:

  • App: Google Calendar

  • Event: New or Updated Event

  • Select the calendar connected to your room (e.g. Room A)

Action:

  • App: Podyx

  • Event: Create or Update Slot Blocker

  • Fields to fill:

    • Room: (Select the matching room name in Podyx)

    • Start/End Time: Pull from the calendar event

    • Event ID: Use Google Calendar’s unique event ID

  • Hit Continue and Publish Zap

💡 This ensures that every time an event is added or changed in your calendar, Podyx will block off that time automatically.

🗑️ Zap 2: Delete Slot Blocker When Event is Cancelled

Trigger:

  • App: Google Calendar

  • Event: Event Cancelled

Action:

  • App: Podyx

  • Event: Delete Slot Blocker

  • Use the same Event ID to target the blocker

💡 This prevents blocked time from staying locked if the event is canceled in your external calendar.

🔁 For Studios With Multiple Rooms:

Repeat the same two Zaps per room. Just duplicate the Zap, and change the calendar and room references to match.

🧠 Why Use This:

  • Ensures true calendar parity — events added outside of Podyx still block booking availability

  • Removes the need to manually add Slot Blockers for private sessions, personal use, or maintenance

  • Prevents double bookings and helps manage team-based calendars in real time

💸 Do I Need a Paid Zapier Plan?

  • Free Plan: Great for small volumes and simple workflows

  • Paid Plan: Required if you need multiple steps or handle many Zaps per month

💬 Need Help?

This feature is still in early access — so if you need help:

  • Request a direct invite link to the Podyx Zapier app (not public yet)

  • Or reach out to our team to schedule a call with our Head of Product (Danica) or a developer

We’re happy to walk you through it.

✅ Summary:

Zapier gives your studio superpowers — especially when it comes to closing the loop between your booking system and your daily tools. Whether you're syncing calendars or triggering follow-up actions in external apps, this integration helps you scale with less manual work.

Set it once, and let automation handle the rest.
