Your step-by-step guide to getting your studio online and ready to book.

Welcome to Podyx — your all-in-one booking system designed specifically for studios. Whether you're running a podcast studio, creative space, or any session-based service, our goal is to make the booking process seamless, the operations effortless, and the client experience feel premium.

This article will give you a full overview of what happens during onboarding, what you’ll set up (and why), and when you’ll know you're ready to launch.


🛠️ What You’ll Be Setting Up

During onboarding, you'll configure everything that powers your client booking experience — all through your Admin Panel (aka CMS, aka backend). Here’s what you’ll work through:


1. Availability (Studio-Wide)

Define your general studio hours — which days and time ranges you're open for business.
You can also:

  • Add exceptions for holidays, maintenance, or custom days

  • Adjust specific dates as needed

🔑 This is the foundation of when bookings are even possible.


2. Rooms

Rooms represent your physical spaces — where sessions happen.

For each room, you’ll:

  • Give it a name + adress

  • Connect a Google Calendar (ideally one calendar wit more sub-calendars per room)

  • Assign which setups can be booked there

🔑 Rooms are where bookings are applied — and where availability is enforced.


3. Setups (Your Booking Flow Anchor)

Setups are the first step clients interact with in most booking flows.

They define the type of session experience you're offering — like:

  • "Audio Podcast Setup"

  • "Video Podcast w/ Livestream"

  • "Interview Panel Format"

Each setup controls:

  • Which base services and add-ons appear

  • Which rooms it’s tied to

  • How bookings flow from there

🔑 No setup = nothing appears to book.


4. Base Services & Add-Ons

These are the actual things you're selling.

  • Base Services: Your core offerings (e.g. 1hr Recording, Livestream, Audi + Video Session)

  • Add-Ons: Extras like Reels, Clips, Trailers — with flexible pricing and quantity rules

You can also link upgrades (add-ons shown as suggestions when a base service is selected).

🔑 This is how you monetize and customize sessions.


5. Payment Setup

Choose how clients will pay:

  • Stripe

  • Square

  • Or enable Pay Later (submits booking requests you can approve manually)

This is where you also choose:

  • Your currency

  • VAT/tax settings

  • Whether clients pay up front or request approval

🔑 No payments = no confirmed bookings (unless Pay Later is used).


6. Studio Settings

Customize:

  • Time formats

  • Buffer times

  • Minimum session duration

  • Session increments

  • Cancellation & rescheduling cutoff windows

  • Booking notes (ask clients for info before sessions)

🔑 This controls the fine print behind how your calendar works.


7. Brand Appearance

Your booking page should feel like your brand.

Set up:

  • Your colors and font

  • Light or dark mode

  • Button shape

  • Favicon and logo

  • Booking page intro text

  • Reordering setups and bundles on your landing page

🔑 This helps clients feel like they never left your website.


8. Bundles (Optional)

Want to offer packages (like 5 sessions for a discount)?
You can create bundles with:

  • Specific services and add-ons

  • Multiple pricing tiers

  • Their own landing pages

🔑 This is perfect for driving recurring revenue or launching a promotion.


9. Notifications (Optional)

Set up automated emails for:

  • Reminders

  • Follow-ups

  • Re-engagement campaigns

You can also upload a banner that appears on all outgoing studio emails.


10. Zapier Integration (Optional, but powerful)

Connect Podyx to:

  • Google Calendar (for two-way sync)

  • CRMs like Notion or Monday

  • Invoicing systems or Slack

✅ How You Know You're Ready to Launch

Once you’ve:

  • Added at least one setup

  • Connected a room and calendar

  • Created at least one base service

  • Created at least one additional service

  • Connected a payment method

  • Configured your availability

  • Previewed the flow using test bookings…

You’re ready to go live! 🎉
You can either:

  • Hyperlink your Podyx booking link to your "Book Now"

  • Or embed it on your website (you’ll learn how in another article)


🧠 Pro Tip: Test the Flow First

Before launch, do a few test runs:

  • Try all 3 booking flows (by date, by setup, with a bundle)

  • Book as if you're a client (use an incognito browser)

  • See what emails go out and how the calendar invite looks

  • Make sure pricing and services appear how you expect
