Receive incoming goods without purchase order using Mobile App

Learn how to receive products in your warehouse when no purchase order is created using the PULPO WMS Mobile App

All types of products can be received in your warehouse when no purchase order is previously created. This can be done only by using the PULPO WMS Mobile App. This article will explain how to receive every type of product without creating a Purchase Order.

For receiving any type of product in the warehouse without a purchase order, the product must be created or synchronized as explained in the Create/Edit Products article. Suppliers for the warehouse must also be created to perform this task.

  1. Go to the Incoming goods option located on the left side menu of the Mobile App:

2. Select the NEW INCOMING GOODS tab to open a product list dialog for receiving products without purchase orders.

3. Click the "+" button at the right lower part of the screen to select the supplier for the products to be received. Use the search bar to look for suppliers registered in PULPO WMS and/or select one supplier from the list.

4. The next screen displays the supplier information and the product list for the new incoming goods. Click on the "+" button at the right lower part of the screen to start receiving products. After receiving products, the PULPO WMS user will always return to this screen where an overview of products already received at the reception positions is displayed.

5. After clicking on "+", the user can scan the product to be received. Depending on the type of product to be received (see PULPO WMS type of products), a new dialog will appear where information concerning each type of product must be entered.

Since the process to inspect and receive each Type of product of PULPO WMS is different, the following types will be explained separately:

Receiving None type scanned products:

Count and fill in the accepted and rejected quantity of products.

❗️ NOTE: Accepted products are to be taken inside the warehouse and will be active in warehousing tasks. Rejected products must be manually taken to positions of type "return" and will not be made available for sale.

The barcode of the current receiving position must be scanned to register the product at that receiving position.

PULPO WMS allows adding any notes or pictures, for example, to add information according to the actual state of the products when being physically inspected at the receiving positions.

When finishing counting the accepted/rejected products, press the FINISH button to return to the product list screen mentioned in 4. When finishing inspecting and counting the products, return to the product list mention in 4.

Receiving Serial-type scanned products:

Click on the "+" button located at the lower right side of the screen to create/assign a serial number to the product.

Serial products can be accepted or rejected depending on their delivery conditions.

❗️ NOTE: Accepted products are to be taken inside the warehouse and will be active in warehousing tasks. Rejected products must be manually taken to positions of type "return" and will not be made available for sale.

The employee must scan the barcode of the current receiving position to register the product at the receiving position.

PULPO WMS allows adding any notes or pictures, for example, to add information according to the actual state of the products when being physically inspected at the receiving positions.

Each serial number must be scanned or added in the Add item field. Notice the displayed quantity of already scanned products at the top of the screen.

Since Serial type products in PULPO WMS have always one unique serial number, the quantity of scanned products is automatically calculated by PULPO WMS, avoiding the employee having to count the number of products scanned. PULPO WMS also automatically avoids duplicating the same serial number.

As serial numbers are being scanned, these will be listed below the Add item field and the quantity of scanned products will be calculated and displayed at the top of the screen. When finishing scanning and assigning serial numbers to the products, return to the product list mention in 4.

Receiving Lot-type scanned products:

Click on the "+" button located at the lower right side of the screen to create/assign a lot/batch number to the received product.

Unlike the other type of products of PULPO WMS, a Batch Number and Expiration Date must be scanned or assigned to Lot type products when receiving them at the warehouse.

Lot type products can be accepted or rejected depending on their delivery conditions.

The employee must scan the barcode of the current receiving position to register the product at that receiving position.

When finishing scanning and assigning lot numbers and expiration dates to the products, return to the product list mention in 4.

6. After inspecting and registering all desired types of products without a purchase order, these will be listed in the product list of the NEW INCOMING GOODS tab.

7. By clicking the FINISH button located at the bottom of the screen, the task will be finished (the screen will appear blank and return to its original state mentioned in 2) and the products can now be stored in a corresponding position optimally assigned by PULPO WMS. The system will automatically create this movement task.

Note: If a product is sent to inactive it can not be received and be treated as if it were unknown to PULPO WMS.
