Materials — Add Materials to Estimates & Invoices (Linked to Inventory)

Add materials to estimates and invoices as their own line items with quantity, unit cost, and a Materials Subtotal. Link materials to Inventory products for automatic cost fill and stock deduction on job completion. Available on all plans.

What Is the Materials Section?

Estimates and invoices in QuoteIQ include a dedicated Materials section alongside your services. Instead of hiding material costs inside a service price or tacking them on as a note, you list each material as its own line with a quantity, unit type, and unit cost. QuoteIQ calculates the total for each material and shows a Materials Subtotal so you and your customer can see exactly what the job's materials add up to.


How to Add Materials

  1. Create or edit an estimate or invoice.

  2. Open the Materials section.

  3. Add a material with its name, description, quantity, unit type, and unit cost. The line total calculates automatically.

  4. Add as many materials as the job needs. The Materials Subtotal updates as you go.

  5. Edit any material inline at any time, right in the sheet, without leaving the document.


Link Materials to Inventory (Elite and Max)

If you use Inventory Management, materials get even more powerful:

  • Cost pulls automatically. Select an inventory product as the material and its cost fills in from your inventory records.

  • Stock deducts on job completion. When the job is completed, the materials used are deducted from your inventory counts automatically, so your stock levels stay accurate without manual adjustment.


Good to Know

  • Per-unit pricing shows on the customer's copy. Public estimate and invoice pages display per-unit pricing, so customers can see how each line was calculated.

  • Markups apply to materials too. The Mark Up All tool applies your markup across every service and material at once, or you can mark up individual lines.

  • Materials work on every estimate type. Standard, Quick, Options, and Package estimates all support the Materials section, and so do invoices.

Which plans include the Materials section?

All plans. Every QuoteIQ plan can add materials to estimates and invoices. Linking materials to Inventory products, with automatic cost fill and stock deduction, requires Inventory Management on Elite or Max.

Do materials show separately from services on the estimate?

Yes. Materials appear in their own section with a Materials Subtotal, separate from your service lines, so the customer sees a clear breakdown.

Does inventory stock update when I use materials on a job?

Yes, if the material is linked to an Inventory product. When the job is completed, the quantities used are deducted from your inventory automatically. This requires Inventory Management (Elite and Max).

Can I apply a markup to materials?

Yes. Use Mark Up All to apply a markup across every service and material on the document at once, or adjust individual material lines.

Can I edit a material after adding it?

Yes. Materials can be edited inline in the sheet at any time before you send the document.
