How do I import contacts, donors, or pledges?

Raise More facilitates seamless workflow whether you’re managing new donor records, updating prospect lists or exporting existing pledges.

Updated over 2 weeks ago

Accurate data import ensures your contact lists, donor records, and pledges remain organized and up to date. Raise More provides a structured import process to help you clean, validate, and map data before it is stored in the system. This reduces duplication, formatting errors, and missing information—allowing for a smooth integration of new records.

How to access the import feature

To start importing your data, you may follow the below steps :

  1. Go to Import & Export
From your Dashboard, locate the navigation bar on the left side of your screen and select Import & Export.

  2. Select Import
Choose the Import option among the three available choices. You will be directed to a page with the title Import as shown below.

1. Select the data type. Raise More allows you to import three types of data:

  • Donations : Upload donor history from NGP, ActBlue, or a spreadsheet.

  • Prospects : Add potential contacts for outreach campaigns.

  • Pledges : Import outstanding pledges from an external source.

2. In this guide, we will use Donations as an example. Once you make a selection, the button Next Step will be accessible and changed into Blue color.

How to prepare your import file

  1. Before uploading, ensure your data follows the correct format. You will be seeing a pop-up with the title Upload a Donations File. You can download a template file by clicking Download Excel Template at the bottom left of the pop-up window. Illustration provided below

  1. Ensure data that fall under Required Columns are not blank. For each data type, certain columns are mandatory to ensure correct mapping:

  • Donations: Date, Amount, Donor First Name, Donor Last Name

  • Prospects: First Name, Last Name

  • Pledges: First Name, Last Name, Pledge Amount

In addition to these required fields, many optional fields are available. You can view the full list of available fields inside the importer screen in Raise More. Below are some key optional fields that might be particularly useful:

  • Tags : A comma-delimited list of tags to apply to this person. If you want to bulk tag your entire import with a tag, add it as a column in your import file.

  • Zip : Zip code associated with this project.

  • Donor Research / Donor History : A text field for recording notes on the person’s past giving history. There is no specific format, allowing flexibility for your note taking purpose.

  • Ask Amount : The recommended donation amount to request from this person on future outreach.

  1. Once your file is ready, drag and drop it into the upload area or click to browse and select your file.

How to map and validate data

After uploading, the system will scan your file and check if the data aligns with the required columns. Here’s what happens next:

  1. Review the Data Checklist

    • The system will highlight any missing or incorrect fields.

    • Required columns must be filled to proceed, while optional columns will be processed even if left blank (automatically marked as completed) as shown below.

  1. Verify Field Mapping

    • On the right panel, check if the system correctly assigns each column to the right data type.

    • If you identify any inaccuracy and would like to make a correction, you can manually select the correct field from the dropdown.

  2. Once everything looks good, click Next Step to continue.

How to perform final review and fixing errors

Before completing the import, you’ll get a final preview of your data:

  1. Check for Any Errors

    • If any required data is missing, the system will highlight the issue in the right-hand panel.

    • Example: A missing Donor Last Name will show a warning message.

  1. Fill in Missing Data

    • Click the warning message and choose Fill empty cells with a value.

  • A pop-up will appear with a Find and Replace function.

  • Enter the missing value and click Replace All. Illustration provided below :
