Manage content that can be shared via public channels and simplify integrating Realync videos with other services

Overview

The Realync Approval Feature includes automated sharing to certain integration partners, automated review requests upon publishing (no need to request after publishing anymore!), and allowing any user, regardless of their role, to have permission to manage content on behalf of their property!

This helps on-site teams collaborate with their regional or corporate users who want to ensure that the content used in more public channels meets a certain standard. This feature was built to strike a balance between allowing site teams to quickly create and share content with prospects directly, without waiting for approval, while also providing a means to control the quality of the content that is to be shared more publicly.

The Realync Approval Feature also provides benefits to users who wish to add their unit-level content to Integration Partners like Apts.com, Engrain, Betterbot, and Pynwheel. The Approvals Feature simplifies integration setup and content maintenance by letting us know which content has already been approved and is available to share with these partners.

Videos not yet approved and marked Ready for Share will only be available to share privately with prospects or social media outlets. All marketing-related sharing options will be grayed out and unavailable, particularly for unit-level videos (QR code, Embed Code, and Integrations).

Using the Approval Feature as an Approver

When the Approvals Feature is turned on, all videos will start in the Request Approval status. As a user with the Approval permission, you can Approve and Reject video content that can be shared via QR code, embed link, and integrated partners. A video may be selected as Ready to Share or Rejected anytime by navigating to the property tab.

Users without the Approval permission will be required to have their content reviewed before certain share options will become available. The request for Approval will automatically be sent to users with the appropriate permissions upon publishing. Users may also send a reminder notification email for published videos still waiting for Approval.

Approving a Video

  • Navigate to the Video page of the property with videos to Approve

  • To mark a video as Ready to Share click on the ✔ of a video. To Reject a video, click on the X.

    • If Rejecting, Realync will also require the Approver to add a brief description for rejecting the video so that the video owner may know what needs to change.

  • Realync will notify the owner once the video is marked as Ready to Share or Rejected.

Changing a Rejected video to Ready to Share

  • Navigate to the Video page of the property with videos to Approve

  • Click the “...” on the video

  • Select “Ready to Share”

  • This will update the video to the Ready to Share status

    • You will also have the option to share the video immediately

  • Realync will notify the owner once the video is marked as Ready to Share

Removing the Ready to Share Status

  • Navigate to the Video page of the property with videos to Approve

  • Click the “...” on the video

  • Select “Remove Share”

  • This will update the video to the Request Approval status

Status Details

  • Request Approval

    • All videos will start with the Request Approval status

    • These videos will have the Prospect Link and Social sharing options

      • All other options will be grayed out (QR code, Embed Code, and Integrations) until marked ready to share.

  • Ready to Share

    • All sharing options will be available for this video

  • Rejected

    • Rejected videos will function the same as Request Approval videos, except that they will also have details as to why the video was Rejected

Using the Approval Feature as a Requester

When the Approval Feature is turned on, all videos will start in the Request Approval status. All users who are not granted Approval permissions will be able to request content to be Approved.

There are three ways to Request Approval of the video:

  1. Newly recorded videos will automatically be sent for review.

  2. Click on the clipboard with a ✔ of a video that has not been approved.

  3. When a user without Approval permissions attempts to share a video that has not been marked Ready to Share through a marketing channel (i.e. when they attempt to create an embed code, an integration link, etc.), they will be given the option to Request Approval.

When Approval is requested, an email will be sent to the Approver you selected.

When a video has been marked Ready to Share, the content creator will be notified and all sharing features will be available for the video.

Rejected Videos:

  • When a video is Rejected, the video owner will be sent an email notification with a brief reason for rejection and a Red X will appear on the video.

  • Videos with a "Rejected" status and videos with a "Request Approval" status are similar. The "Rejected" videos will also contain a brief description explaining why they were rejected.
