Step One:
Once the agreement is signed, the Realync Services team is notified of your upcoming Studios site visit(s). Either your Realync representative will introduce you to the Realync Services team via email or a zoom meeting, or you will be contacted by Realync Services directly.
We are happy to set up a separate Realync Studios project meeting to review the details of your site visit(s) if that is desired.

Step Two:
A Realync Studios Survey will be sent to you for completion regarding your Studios site visit. This survey will collect pertinent information needed in order to prioritize, plan, and understand the scope of your Studios project. Receiving this information from you is crucial to our process so we can communicate properly with local Realync Studios contractors in your area.
**This form is different from the Realync Onboarding SurveyTypeform.**
Note that we ask for a corporate contact as well as an on site contact and phone number to ensure the on site team is aware of our arrival.
Missing or incomplete information will contribute to potential delays in scheduling, completion, and delivery.
Step Three:
Realync Services uses a scheduling tool called WhenAvailable to capture your availability so that we can coordinate effectively with our Realync Studios contractors. You will receive a link to select future prospective dates that have been preloaded by the Realync Services team based on potential available dates for your Realync Studios site visit. A delay in Realync Services receiving this information will contribute to potential setbacks in scheduling, completion, and delivery of your Realync Studios site visit.
Once a date(s) is/are secured with both your team and our Realync Studios contractor, you will receive an email with your confirmed date(s). Relevant contacts will receive calendar invites as well as multiple email reminders leading up to your site visit(s). Please accept this calendar invite even if you are physically not on site so that you are reminded of our visit!
Step Four:
We will need a list of spaces that will be recorded during our site visit. This information is very important as we use the square footage and space count as a way to estimate Studios contractor time. This template can be used to submit spaces for your Realync Studios visit. Send the completed list to Services@realync.com.
If you don’t have the actual unit numbers ready but you do know which floorplans you’d like to capture, please provide the square footage and floor plan names of the units you want captured and then send the final list over 48 hours prior to the site visit.
What if the actual spaces or unit numbers change from what we submitted on the day before/of the Realync Studios site visit?
That’s ok! Things happen. Just let us know and the Realync Studios contractor can substitute that space for another to fulfill your contracted content count.

As we’re sure you understand, coordinating Realync Studios site visits involve a lot of moving parts. From managing contractors and equipment kit tracking, to handling client communications and scheduling, there's a lot to keep track of. Cancellations and schedule changes can be particularly costly, so to ensure everything goes smoothly, we have a $250 fee for any changes or cancellations made within 10 days of the scheduled visit. We'll send calendar invites and multiple reminders before the site visit to keep you informed about this fee and help you stay on track.
What if the number of spaces available for capture is actually LESS than what is in the contract on the day of the Site Visit?
As previously mentioned, Realync Studios site visits have a minimum of 10 captures (unless otherwise contracted or approved by Realync). If we arrive and not all planned spaces are available the day we arrive and you want us to return more than 10 days in the future to capture the remainder, there is a $250 fee (rescheduling is dependent on contractor availability). Uncaptured content due to space availability is subject to be forfeited unless you’ve scheduled another Studios site visit for $250. Contact Services@realync.com with questions.
For Example: If we come on site and you have 20 videos in your agreement but only 15 spaces are available for capture during our site visit, 15 is the number that will be delivered to your account. If you’d like us to return to capture the remaining 5 videos more than 10 days in the future, there will be a $250 site visit fee or the remaining content is forfeited. (This is subject to contractor availability and would qualify as one of those circumstances when a Studios site visit would be approved for less than 10 captures).
What if you want MORE captures than what’s in the contract?

Aren’t ready to schedule our Realync Studios visit yet?
No problem at all! We have a regular schedule for reminder emails about your upcoming visit. If you'd prefer to pause these reminders, just let us know when you'd like us to resume them. We want to make sure we're not overwhelming you with notifications until you're ready to hear from us.
If you are having multiple Realync videos/360 Click thrus recorded, and not all will be done on the same day:
If Realync is capturing content in phases as outlined in the agreement, multiple Realync Studios site visits can be scheduled at various times based on space availability, as long as there is a minimum of 10 captures per visit (or otherwise approved by Realync Services). Typically the number of site visits is outlined in the Realync Studios section of the agreement, but there may be some exceptions. Multiple visits should be agreed to at least 10 days before the first visit, otherwise, additional trip charges will be incurred for $250.00 per visit.

Realync Studios video content is recorded and edited using the Realync platform.
Realync videos are captured using the Realync mobile app and are edited via the Realync mobile app and/or desktop platform. Visual editing features include: cut, trim, speed, and brightness. Reference Overview of Editing for more information.
Can content be edited to remove/change items (blemishes, TVs on, etc)?
No. Cropping, computer generated imagery, effects and “photoshopping” of videos and 360 click thrus post production is not possible at this time. While Realync Studios contractors will turn on lights, ceiling fans, open/close blinds, and close toilet lids, they will not clean, set appliance clocks, adjust decor/housewares/furniture, etc. To ensure all spaces look their best for their Realync spotlight, we rely on your team to clean and walk all spaces on the Realync Studios list to ensure they appear as expected in your delivered content. Reference Prepping for your Studios visit for more information.
(examples include but are not limited to: turn TVs on/off, blinds up/down, damage, dirt, trash, people, dirty windows, blinking appliance clocks, signage showing/not showing, construction, pillows fluffed/not fluffed, blankets smoothed, pool umbrellas open/closed, chairs pushed in, furniture adjustments, air returns, brown grass, cars, weather, etc).
If delivered content needs to be recaptured due to unsatisfactory space conditions, the on site team can use the Realync platform to edit published videos. Refer to How to Edit Published Videos for more information.Or, you can choose to have Realync Studios return for recaptures after the spaces have been cleaned and prepped to your liking. In this case, contact Services@realync.com for a quote.
What if the weather isn’t cooperating?
Interior spaces won’t be affected by unfavorable weather, however if we are scheduled to capture outdoor spaces, we can schedule to return to capture the content within 10 days of your original site visit, or we can replace the outdoor space content with other interior content. Rescheduling is subject to contractor availability but will do our best to accommodate as soon as possible. Note that as mentioned above, “weather” cannot be “photoshopped”.
Can the content be edited once it’s delivered to your property’s Realync account?
If additional edit requests for your delivered Realync videos are desired, you can utilize Realync’s built-in editing features to modify the videos within your Realync account. Refer to How to Edit a Published Video, Desktop Editing, and Branding - Where do I Edit? for instructions on how to perform these tasks.
You can opt to have Realync modify the videos post-delivery at $100.00 per capture.
What about Branding?
What about Branding?
Realync Studios videos will be branded the same as any video in your Realync account. The branding details are based on the settings of your property’s Realync account (these settings were submitted by your team at Realync account setup). You can adjust the logo, branding color, and call to action links from the Realync Dashboard via the Customization tab at any time. Reference Branding 101 and Branding - Where do I Edit? for details regarding changing Branding settings.
Realync video Segment colors (Segments are labels in Realync videos that identify rooms such as Entry, Kitchen, Bathroom, etc.) The segment color will match the branding color set on the Customization tab in your property’s Realync dashboard. If you decide to change this color, please note that it will affect the branding color across your entire account. At this time, it's not possible to adjust the segment color independently of the account branding color, and the segment font cannot be modified.
Realync 360 Click thru content will be branded based on the information you included in your onboarding TypeForm at Realync account setup. Please check this information to ensure this is what you would like on your Realync 360 Click thru content. If you would like to omit any of the below items from your Realync 360 Click thrus, please let us know prior to the Site visit.
If you decide post delivery that any of this information needs to be adjusted or removed, there is a fee of $100.00 per video for editing.

Can you select the Music for your Realync videos?
Yes. You have the option to choose music for your videos from the Realync library or you can rely on Realync to select music for your videos. Here is a sample playlist of the music available in the Realync library. (song lengths are not accurate in this sample playlist)

How will you know when your property’s content is ready?
You will receive an email from Realync Studios stating “That’s a Wrap” with confirmation that your Realync Studios content is in your Realync account and ready to use! If you have both Realync videos and 360 click thru content, it’s likely your Realync videos will be available first. We’ll send you an update as content is delivered to your account.
After your Realync Studios site visit is complete and your content delivered, your dedicated Client Success Manager will be your point of contact going forward should you need anything Realync related!
What to do with your Realync Content
Once your Realync content has been published to your Realync account, it’s ready to be shared with prospects, embedded into your website, and integrated into your other tools, such as Engrain’s SightMap, BetterBot, Hy.ly, and more. Your dedicated Client Success Manager will be happy to assist you with any questions you may have.

Prep your spaces! We rely on your team to clean and inspect the spaces to ensure they are being captured in a condition that meets your standards. Cropping, CGI, effects, and "photoshopping" is not available. Refer to Prepping for your Studios visit for more information.
