What Are Filter Presets?

Top 4 Direct Mail Filter Presets for Generating Direct Mail Leads
Set up these 4 custom filter presets to easily filter and send mail.
1. Skipped No Numbers -> Send Mail
This preset targets records that have been skip traced but did not yield phone numbers. Here’s how to set it up:
Property Status: Exclude property statuses. This helps exclude any records you may have already reached.
Direct Mail Attempts: 0 (Records that have not been mailed yet.)
Last Mail Status: Exclude Returned and Undeliverable statuses.
Add Params & Others Filter bock:
Select Numbers -> No
Skip Traced -> Yes
Vacant Mailing -> No (excludes records with vacant mailing addresses as flagged by USPS)
Use this filter weekly or monthly to identify records that you’ve skip traced but didn't receive any phone number results for.
2. No Contact -> Send Mail
This preset identifies records you’ve called or texted multiple times without making contact. To set it up:
Property Status: Exclude all property statuses.
Direct Mail Attempts: 0
Marketing Filters: Customize based on your marketing efforts. For example:
Call Attempts: 5
SMS Attempts: 3
Adjust these numbers based on your specific marketing cadence.
Last Mail Status: Exclude Returned and Undeliverable statuses.

Vacant Mailing -> No
Apply this filter weekly or monthly to send mail to records you’ve reached out to but haven’t contacted.
3. No Good Numbers -> Mail
This preset is ideal for records where all phone numbers are either wrong, dead, or DNC. Here’s how to set it up:
Phone Status Combination: All phone numbers are Wrong, Dead, and DNC.
Property Status: Exclude all property statuses.
Direct Mail Attempts: 0
Last Mail Status: Exclude Returned and Undeliverable statuses.

Vacant Mailing -> No
Use this filter for records where you are not able to reach by phone, but direct mail remains an option.
4. Monthly Mail Rehash
This preset focuses on re-engaging records you’ve mailed before but haven’t received a response from. Configure it as follows:
Property Status: Exclude all property statuses.
Direct Mail Attempts: At least 1 (Set a maximum, e.g.,

, if desired.)Last Direct Mail Date: Use the Prior to option to select records last mailed over a month ago.
Last Mail Status: Exclude Returned and Undeliverable statuses.

Apply this filter monthly to send follow-up mail to prospects who haven’t responded yet.
Filter Presets for Following Up with Leads & Not Interested's
These filter presets focus on Leads and Not Interesteds so that you have another marketing channel to stay omnipresent and top of mind so when an owner is ready to sell, it is you they are thinking of.
1. Leads Not Mailed
Use this filter to identify leads that have never been mailed before, ensuring your first direct mail attempt reaches new prospects. Here's how to set it up:
Property Status: Include Lead Statuses: New Lead, Cold Lead, Warm Lead, Hot Lead, and No Contact New Lead.
If you would like to target only specific groups, you can select only Cold Lead and Warm Lead.
Direct Mail Attempts: min and max of 0
Params & Others
Vacant Mailing -> No
2. Leads Mailed Monthly (or Quarterly)
Follow up regularly with leads you've mailed before. Here's how to set this up:
Property Status: Include the Lead statuses you want to mail again.
Last Direct Mail Date: Use the Prior to option to select records last mailed more than one month ago.
Last Mail Status: Exclude Returned and Undeliverable statuses.

3. Not Interested, Not Mailed Yet
This filter helps you reach out to "Not Interested" leads who have never been mailed before:
Property Status: Include Not Interested
Direct Mail Attempts: min and max of 0

4. Not Interested, Mailed Quarterly
Stay top of mind with "Not Interested" leads by following up quarterly. Here's how:
Property Status: Include Not Interested
Last Direct Mail Date: Use the Prior to option to select records last mailed more than a quarter ago.
Direct Mail Attempts: Optional, can set minimum to 1 and leave max blank or include a cap of 6 - 12 or however many attempts you'd like to stop mailing at.

Why Follow Up with "Not Interested" Leads?
Circumstances change—property owners who weren't ready to sell may change their minds due to personal or market shifts. Regular follow-ups ensure that when they're ready, your business is the one they remember.
