In this article we will guide you through creating custom filter presets for your direct mail campaigns. Whether you are mailing directly through DataFlik x REISift or using an outside source, these filters will help you see exactly which records need an initial mail attempt, and which ones need a follow up attempt.
Saving the filter presets makes it super easy to go back in and filter for each new and follow up campaign.
Create a Folder
From the Records page, select Filter Records then Create New Folder.
Name the folder Direct Mail and save. You can number your folders to control the order.
Select this folder when saving your filters.
Mailing Records within DataFlik x REISift
Why mail through DataFlik x REISift? When sending directly through your DataFlik x REISift account, we automatically track mail attempts, last mail dates, and mail statuses. If you toggle Do Not Mail on for a record, we will skip that record even if you select it in your campaign.
Build your Presets
Select Add New Filter block and begin creating the following:
1. Needs First Mail
Filter for:
Any List (choose one or multiple lists you want to target).
Property Status → Do Not Include Any Status.
Direct Mail Attempts → Minimum and Maximum 0.
Params & Others → Vacant Mailing No.
Save as 0. Needs First Mail.
Use this filter preset to identify records that have never been mailed before and need their first mail attempt.
2. Mail Monthly (Follow-Ups)
Filter for:
Any List (choose one or multiple lists you want to target).
Property Status → Do Not Include Any Status.
Direct Mail Attempts → Minimum 1 and Maximum for total amount of times you want to mail.
For example, max of 12 means they'd receive a mailer each month for one year unless you reach them.Params & Others → Vacant Mailing No.
Last Direct Mailed → Prior to → Last 72 Months Prior to Month
All Tags → Do Not Include Return Mail
Save as 1. Mail Monthly.
Use this filter preset to identify records that have been mailed previously but need a follow-up attempt.
Mailing Records using an Outside Source
If you are mailing using an outside source, you will need to export your records to upload to the other mail provider. You'll also need to select to update the direct mail attempts after export, and tag the records for the month and year they are mailed. If someone requests to be removed from your mailing list, tag them as Do Not Mail.
Build your Presets
Select Add New Filter block and begin creating the following:
1. Needs First Mail
Filter for:
Any List (choose one or multiple lists you want to target).
Property Status → Do Not Include Any Status.
Direct Mail Attempts → Minimum and Maximum 0.
Params & Others → Vacant Mailing No.
Save as 0. Needs First Mail (or Initial Mail).
Use this filter preset to identify records that have never been mailed before and need their first mail attempt.
After applying the filter, select all records and go to Manage -> Add Tags.
Tag with DM MM/YYYY (Example: DM 10/2025) so you can track the date the records are being mailed. This allows us to see who needs mail for the next month.
Now go to Manage → Export to Export the records. After the Export is complete, you can download it from the Activity → Download page.
After the Export is complete, select all the records and go to Manage → Update Attempts, then increment the Direct Mail attempts to 1 by clicking the plus sign. Click Update to save.
2. Mail Monthly (Follow-Ups)
Filter for:
Any List (choose one or multiple lists you want to target).
Property Status → Do Not Include Any Status.
Direct Mail Attempts → Minimum 1 and Maximum for total amount of times you want to mail. For example, max of 12 means they'd receive a mailer each month for one year unless you reach them.
Params & Others → Vacant Mailing No.
All Tags → Do Not Include Return Mail, Do Not Mail, and the current DM MM/YYYY tag. Include the previous DM MM/YYYY tag.
Save as 1. Mail Monthly (or Mail Follow Up).
Use this filter preset to identify records that have been mailed previously but need a follow-up attempt
After applying the filters, repeat the same steps from Needs First Mail:
Add MM/YYYY tag
Export Records
Increment attempt by 1 after Export is complete.
Optional Presets
Mail “Not Interested” records quarterly. Use the Mail Monthly preset as a base, include the Not Interested status and remove the direct mail attempts filter. Edit Last Direct Mailed → Prior to → Last 72 Months Prior to Quarter.
Mail “Cold” or “Ghosting” leads on a regular basis. Similar to Not Interested except you would include Cold Lead and Ghosting Lead statuses, then adjust your Last Direct Mailed date to the frequency you want to mail these leads.
