Top 5 Filters for Efficient Lead Management

In this guide we will show you how to create custom Lead Management filter presets to efficiently manage your leads and ensure no lead slips through the cracks.

To start creating custom filter presets, navigate to the Records page and select Filter Records towards the top right of the page.

Creating the Lead Management Folder

To create a Lead Management folder for the presets, select Filter Records -> Filter Presets and Create Folder.

Next, name the folder and select the users or roles you would like to have permissions to access the folder then select Create Folder to save.


Only team members with access to the folder will be able to see the folder or any presets located in the folder.

Create the Lead Management Filter Presets

Filter 1: New Leads Due Today

  • Purpose: To identify new leads that need to be contacted the same day.

  • Steps:

    1. Select the Property Status filter block and include New Lead.

    2. Add a filter block for Task and select Due Today.

    3. Save this filter in the Lead Management folder and name it New Leads Due Today.

Filter 2: New Leads Overdue

  • Purpose: To track new leads with overdue tasks.

  • Steps:

    1. Repeat the process for "New Leads Due Today". Select the Property Status filter block and include New Lead.

    2. Set the task filter to Overdue.

    3. Save it as New Leads Overdue in the same folder.

Filter 3: Lead Follow-Ups Due Today

  • Purpose: To manage follow-up tasks for leads.

  • Steps:

    1. Select the Property Status filter block and include lead statuses like Cold, Warm, Hot (and Dead or Lead if desired).
      *Note: Cold, Warm, Hot, and Dead are custom Property statuses. If you don't have these options in your account, you can create them in the statuses page. For more information see: Custom Statuses Overview

    2. Add the Task filter block select Due Today.

    3. Save it as Lead Follow-Up Due Today (abbreviated to "F* Follow-Up Due Today" if needed).

Filter 4: Lead Follow-Ups Overdue

  • Purpose: To catch up on overdue follow-up tasks.

  • Steps:

    1. Duplicate the Lead Follow-Ups Due Today filter.

    2. Set the Task filter to Overdue.

    3. Save it as Lead Follow-Up Overdue.

Filter 5: Leads with No Tasks

  • Purpose: To ensure no leads are forgotten.

  • Steps:

    1. Select the Property Status filter block and include lead statuses such as New Lead, Cold, Warm, Hot.

    2. Add the Task Count filter and set to a minimum and maximum of zero.

    3. Save it as Leads with No Tasks.

By setting up these five essential filters, you streamline your lead management process, ensuring timely follow-ups and preventing leads from slipping through the cracks. These presets help you stay organized, prioritize your tasks, and ultimately increase your chances of converting leads into deals. Regularly reviewing and updating your filters will keep your lead management system running smoothly and efficiently.
