Overview
Notes and follow-ups let you log context, track manual outreach, and set reminders—all directly inside the Command Center.
Use them to keep conversations organized and make sure nothing falls through the cracks.
Where to find notes and manual follow-ups
You can access notes and follow-ups from any prospect profile.
Open the Command Center
Select a prospect
Look for the Notes & follow-ups panel on the right
From this panel, you can:
Add notes
Log manual follow-ups
Tag teammates
Set reminders
Note: this feature is currently available on desktop but will be rolling out to the phone app soon.
Add notes
Notes capture important context about a prospect, such as preferences, feedback, or past conversations.
Create a note
Click Manage in the Notes & follow-ups panel
Select Add note
Enter your note
Link it to a specific property that the person is interested in (optional)
Click Save
Notes are visible to the entire team.
Pinned notes
The first note added to a prospect is automatically pinned.
Pinned notes:
Stay at the top of the panel
Provide quick visibility into key details
To change the pinned note:
Click the pin icon on a different note
Only one note is pinned at a time.
Automatic notes from listing sites
When a new prospect is created, RentEngine automatically adds a note with the information they submitted on the listing site.
This may include:
Initial message or inquiry
Preferences and desired move-in date
Log manual follow-ups
Manual follow-ups track outreach that happens outside RentEngine’s automated follow-ups.
Use them to log:
Phone calls
Personal texts
Emails
In-person communication
Log a follow-up
Click Log follow-up
Enter what happened (for example: “Called prospect, left voicemail”)
Link it to a specific property that the person is interested in (optional)
Select the channel used:
Text message
Phone call
Email
Other
The follow-up is added to the prospect’s history.
Set reminders (optional)
You can add a reminder to any follow-up.
Choose a date and time
Save the follow-up
RentEngine will notify you and any tagged team members when it’s time to follow up again.
Tag team members
Tag teammates when collaboration or visibility is needed.
In a note or follow-up, type "@"
Select a team member
The tagged user receives an email notification letting them know they were mentioned, and they will also get notified for any reminders added to that manual follow-up.
