Overview

Lead nurturing is central to RentEngine’s ability to convert prospects into leases.

The system schedules follow-ups automatically based on the prospect's status, but you can also view, edit, cancel, or create follow-ups manually.

This article explains how follow-ups work and how to manage them from the Command Center.

How automatic follow-ups work

RentEngine schedules text message follow-ups based on:

  • Prospect status

  • Recent activity (like showing outcomes)

These follow-ups send at specific times to keep conversations moving without manual effort. For more details, check out this guide on automatic follow ups.

View, edit, or cancel a scheduled follow-up

Step 1 — Open the prospect

  1. Go to the Command Center

  2. Select the prospect you want to follow up with

Step 2 — Open the follow-up panel

In the bottom-right corner of the message thread, click See scheduled follow-up.

This panel shows:

  • The next scheduled message

  • The send date and time

Step 3 — Edit or cancel

To edit

  • Update the message text with the pencil icon

  • Choose a new send time

To cancel

  • Click the red X to remove the follow-up

If the prospect does not respond after a full sequence of follow-ups, RentEngine automatically marks them as Unresponsive.

Create a follow-up manually

If no follow-up is scheduled, you can create one.

  1. Open the prospect profile

  2. Click Create follow-up in the bottom-right corner of the message thread

  3. Write your custom message

  4. Select a future date and time

  5. Click Create follow-up

The follow-up is added immediately and will send at the scheduled time.

Common reasons follow-ups are paused

Follow-ups pause automatically in certain situations.

Prospect responded recently

If the prospect responded within the last 36 hours, the scheduled follow-up is paused until you have the opportunity to respond to their question

Showing scheduled or confirmed

  • Only transactional reminders are sent

  • Lead nurturing pauses

  • After the showing, the next status (for example, Still deciding) kicks off a new relevant follow-up sequence

Terminal statuses

Nurturing is off for:

  • Not Interested

  • Withdrawn

  • Unit of Interest Unavailable

  • Duplicate Lead

  • Lease Signed

  • Move In Scheduled

  • Moved In

  • Looking Too Early

  • Prescreen Rejected (ID, credit, or income)

  • Application Received

  • Application Approved

  • Application Rejected

  • Application in Owner Review

Operational holds

Nurturing is off when the property status is:

  • On Hold

  • Waitlist

Interested in multiple units

If a person is actively interested in multiple properties at the same time, nurturing pauses to avoid conflicting messages.

For a complete breakdown, see this guide.

Review prospects with paused follow-ups

You can filter the Command Center to find prospects with paused follow-ups.

  1. In the Command Center, click the filter icon in the search bar

  2. Enable Show only paused follow-ups

  3. Click Save

This view helps you identify prospects that may need manual attention.

Best practices

  • Let automated follow-ups handle routine outreach

  • Use manual follow-ups for personalized communication

  • Review paused follow-ups daily

  • Avoid overriding automations unless necessary

  • Check prospect status before creating manual follow-ups

Troubleshooting

A follow-up didn’t send

  • Confirm it wasn’t paused due to a recent inbound message

  • Check if the prospect scheduled a showing

  • Verify the follow-up wasn’t canceled or edited
