Add a new prospect

Overview

RentEngine automatically captures leads from listing sites, your website, and embedded widgets.

If you receive a lead outside RentEngine—such as a referral, contact form, or offline inquiry—you can still add them so they’re tracked, messaged, and reported like any other prospect.

You can add prospects in two ways:

  • Send lead info by email using the AI parser

  • Add the prospect manually in the Command Center


Option 1 — Send lead info by email (AI parser)

RentEngine has an AI email parser that add prospects instantly from emails. You can use this to forward leads you personally receive via email or add it as a forwarding email for any other listing sites you use outside of RentEngine.

Find your lead intake email

  1. Open the Command Center

  2. Click Add prospect

You’ll see your account’s custom lead intake email address.


Recommended email format

To ensure the parser adds the lead, make sure the email includes:

  • Full name

  • Property address

  • Phone number

Email example:

To: leads+123456789+inmail@rentengine.io Subject: New lead  John Smith   160 NW 8th St #5   +1 305 208 7071

What happens next

Once the email is sent:

  • A new prospect is created automatically

  • RentEngine sends them a first message and puts them in a follow-up sequence

  • The conversation appears in the Command Center

No manual entry is required.


Option 2 — Add the prospect manually

Use this option when you want full control over how the lead is created.

Add a prospect in the Command Center

  1. Open the Command Center

  2. Click Add prospect in the bottom-left corner

  3. Complete the form:

    • Select the property

    • Enter name, phone number, and email (if available)

    • Choose a lead source (Referral, Website form, Other)

    • Choose whether to skip the automated intro message (only skip this if you've already been in contact with them )

  4. Submit the form

RentEngine now sends them a first message and puts them in a follow-up sequence.


Important notes

  • A phone number is required to uniquely identify and track prospects

  • Manually-added prospects behave the same way as automatically-added leads


Best practices

  • Use the email parser for fast, repeatable intake

  • Choose accurate lead sources for reporting

  • Avoid creating duplicate prospects with different phone numbers


Troubleshooting

The prospect didn’t create from email

  • Confirm the phone number was included

  • Use a simple, text-based email format

  • Verify you used your correct intake email address

  • Check the prospect isn't already registered in RentEngine
