Manage your rewards (Admin Panel)

Learn how to edit, generate, draft, and archive rewards so your practice's rewards library stays fresh, on-brand, and aligned with the offers you want to promote.

Overview

Rewards drive repeat visits and sign-ups, so your rewards library needs regular upkeep. The Rewards page in your Admin Panel lets you edit live rewards, generate a new library with AI, manage drafts before they go live, and archive rewards you no longer want available to patients.

This article is for practice owners, managers, and admins who want to keep their RepeatMD rewards library current.

Before You Start

  • You must have Administrator or Manager access to edit, generate, archive, or republish rewards.

  • Rewards are organized into two sections on the Rewards page: Sign-Up Rewards and Visit Rewards. Each section has its own Drafts, Available, and Archived tabs.

  • RepeatMD does not support permanently deleting a reward. Rewards are either archived (and can be republished later) or bulk-deleted while still in the Drafts tab.

  • Changes you make to a live reward only affect certain patients. See How It Works below.

Why It Matters

Maintaining your rewards library is as important as launching it. Done well, ongoing management:

  • Keeps offers aligned with your business. Adjust discount amounts, unlock milestones, and eligible treatments as your pricing and menu evolve.

  • Protects margins. Edit or archive any reward that's become too generous or no longer makes financial sense.

  • Reduces patient confusion. Archive rewards that reference services or products you no longer offer.

  • Creates a safe way to iterate. Use drafts to stage changes before exposing them to patients.

  • Preserves patient history. Archiving (instead of deleting) keeps the patient redemption record intact, so you can see what patients earned over time.

How It Works

Editing a live reward. Updates only apply to patients who have not yet interacted with the reward in a final way. Specifically:

  • Patients who have not yet unlocked the reward will see the updated version.

  • Patients who have unlocked but not yet redeemed the reward will see the updated version.

  • Patients who have already redeemed the reward, or who have converted it into RepeatCash, keep the original reward. Edits do not affect them.

Archiving a reward. Archiving removes a reward from availability, but preserves history:

  • Patients who have unlocked the reward but not yet redeemed it will see it removed from their unlocked rewards list.

  • Patients who have already redeemed the reward will still see it in their redeemed reward history, but cannot redeem it again.

  • Archived rewards can be republished at any time from the Archived tab.

Drafts. Rewards in the Drafts tab are only visible to admins. Patients never see them. Drafts can be edited, published, or bulk-deleted.

Step-by-Step Instructions

Edit a live reward

  1. Log in to your Admin Dashboard.

  2. Click Rewards in the MedCommerce Engine section of the left-side navigation.

  3. In either the Sign-Up Rewards or Visit Rewards section, click the Available tab.

  4. Find the reward you want to edit.

  5. Click the three dots on the right side of the reward.

  6. Select Edit Reward.

  7. Update any of the following fields:

    • Title

    • Image

    • Unlock requirements (visit milestone for Visit Rewards, or sign-up trigger for Sign-Up Rewards)

    • Discount (percentage off, dollar amount off, or free)

    • Eligible treatments (services or products)

  8. Update sign-up reward or Save visit reward. (bottom right)

Generate new rewards with AI

Use the Generate Rewards tool to create a full library of draft rewards pulled from your catalog. Click Generate Rewards in the top right of the Rewards page to start.

Manage and publish draft rewards

  1. On the Rewards page, click the Drafts tab in the Sign-Up Rewards or Visit Rewards section.

  2. Find the draft reward you want to publish.

  3. Click the three dots on the right side of the reward.

  4. Make any final changes to the title, image, unlock requirements, discount, or eligible treatments.

  5. Click Publish Reward.

The reward moves out of Drafts and into the Available tab, where patients will see it in your app.

Bulk delete draft rewards

If you have drafts you don't plan to publish, clear them out at once.

  1. Open the Drafts tab in the Visit Rewards section.

  2. Click Bulk Delete at the top of the drafts list.

  3. In the multi-select flow, choose the drafts you want to remove. Use Select All to select every draft in view. You can delete up to 28 drafts at a time.

  4. Confirm the deletion.

Archive a reward

  1. On the Rewards page, click the Available tab in the section containing the reward.

  2. Find the reward you want to archive.

  3. Click the three dots on the right side of the reward.

  4. Select Archive Reward.

The reward moves to the Archived tab and is no longer available to new patients. Patients who have unlocked but not redeemed the reward will see it removed from their unlocked rewards list. Patients who have already redeemed it will still see it in their redemption history.

Republish an archived reward

  1. On the Rewards page, click the Archived tab in the section containing the reward.

  2. Find the reward you want to bring back.

  3. Click the three dots on the right side of the reward.

  4. Select Republish Reward.

The reward returns to the Available tab and is visible to patients again.

Best Practices and Pro Tips

  • Edit in small, considered changes. Live edits can affect patients mid-journey, so adjust one thing at a time (for example, the discount amount) rather than rewriting the whole reward.

  • Archive instead of rewriting when the change is significant. If a reward is fundamentally different (new discount structure, new eligible treatments), archive the old one and create a new version so patients aren't switching mid-flight.

  • Use drafts as a staging ground. Create a draft version first, refine it with your team, then publish. This keeps your Available tab stable while you iterate.

  • Review your Rewards page monthly. Archive anything stale, refresh visuals, and adjust unlock milestones to match current patient behavior.

  • Coordinate with your front desk. Anytime you archive or change a high-visibility reward, let the team know so they can answer patient questions at the desk.

  • Keep the Drafts tab lean. Bulk-delete drafts you won't publish so the tab stays easy to scan.

  • Preserve history by archiving. Since there is no permanent delete, archiving is how you tidy up your library without losing patient redemption history.

Common Mistakes and FAQs

Q: I edited a reward but some patients still see the old version. Why?

A: Edits only apply to patients who have not yet interacted with the reward in a final way. Patients who have already redeemed the reward, or converted it into RepeatCash, keep the original version. Patients who have not yet unlocked or not yet redeemed will see the updated version.

Q: Can I permanently delete a reward?

A: No. Archived rewards can be republished at any time, and drafts can be bulk-deleted up to 28 at a time. Live rewards can only be archived, not deleted. This preserves patient redemption history.

Q: What happens to patients who already unlocked an archived reward?

A: If they have not yet redeemed it, the reward is removed from their unlocked rewards list when it's archived. If they have already redeemed it, it remains in their redeemed reward history but cannot be re-redeemed.

Q: Can I restore a reward after archiving?

A: Yes. Go to the Archived tab, click the three dots on the reward, and select Republish Reward. The reward returns to the Available tab.

Q: Is the editing flow the same for Sign-Up Rewards and Visit Rewards?

A: Yes. Both sections use the same three dots menu and the same editable fields. [NEEDS CONFIRMATION: confirm there are no field differences between Sign-Up and Visit reward editing.]

Q: Who can edit, archive, or republish rewards?

A: Both Administrators and Managers can manage rewards. Lower-access roles cannot.

Q: Can I edit a draft reward before publishing?

A: Yes. From the Drafts tab, click the three dots on the reward to update any field, then click Publish Reward to move it to Available.

Q: How do I generate a fresh batch of drafts?

A: Click Generate Rewards in the top right of the Rewards page. For full details, see Generate rewards with AI (Admin Panel).

Q: If I change the discount amount on a live reward, does it affect patients who already earned it as RepeatCash?

A: No. RepeatCash that has already been earned from a reward is locked in at the value it was converted at. Future unlocks use the updated value.
