Learn how to archive treatments and packages in your Admin Panel and understand how archiving affects promotions, memberships, rewards, and patient purchases.

Overview

Archiving removes a treatment or package from the patient app and prevents new purchases without deleting past orders or disrupting membership billing. Use archiving when you discontinue a service, seasonal offer, or package but need patients who already bought it to retain access.

This article covers archiving and unarchiving treatments and packages, including what happens when those items are tied to promotions, memberships, or rewards.

This article is for practice owners, managers, and admins who need to remove services from the app safely.

Before You Start

  • You must have Marketing, Manager, or Administrator access to archive treatments and packages.

  • Open Treatments or Packages from the Catalog -> Services section of the left-side navigation.

  • Treatments and packages can be archived and unarchived at any time (subject to the blocking rules below).

  • Archiving hides the item from the app and prevents new purchases.

  • Archiving does not affect past purchases or membership billing.

  • Review linked promotions, memberships, and rewards before archiving. You may need to add a replacement first.

Why It Matters

Archiving correctly protects patient trust and program integrity:

  • Patients who already purchased keep access to treatments and packages in their wallet.

  • New patients cannot buy discontinued services, keeping your in-app catalog aligned with what you offer in the office.

  • Promotions, memberships, and rewards stay valid when multiple eligible options exist, without manual cleanup in most cases.

  • Blocking prevents broken programs when an archived item is the only option left in a promotion, membership, or reward.

How It Works

What archiving does: Archiving immediately hides the treatment or package from the patient app and prevents future purchases. Patients who already purchased or redeemed the item are not affected.

Past purchases and billing: Archiving does not reverse past orders. Membership billing continues as normal, but the archived treatment or package no longer appears as a redeemable option within the membership.

Promotions, memberships, and rewards update automatically when you archive an item that is one of multiple eligible options. The archived item is removed from those programs. Patients who already redeemed the treatment or package see no change. Patients who have not yet redeemed no longer see the archived option.

If the item is the only option in a promotion, membership, or reward, you are blocked from archiving. RepeatMD prevents you from breaking a program that would have zero eligible options. You must first add a replacement treatment or package, or remove the promotion, membership benefit, or reward. Once another option exists, you can archive the original item.

Unarchiving does not reconnect automatically: When you unarchive a treatment or package, it becomes available for new purchases again, but you must manually re-add it to any promotions, memberships, or rewards where it was previously included.

Treatments vs. packages: The archive flow is the same for both. Use Treatments or Packages under Catalog -> Services depending on what you are archiving.

Step-by-Step Instructions

Archive a treatment

  1. Log in to your Admin Dashboard.

  2. Click Treatments in the Catalog -> Services section of the left-side navigation.

  3. Find the treatment you want to archive.

  4. Click the three-dot menu on the right side.

  5. Select Archive Treatment.

  6. Review the warning message. If the treatment is linked to promotions, memberships, or rewards, confirm you understand the impact.

  7. Confirm to archive.

Once archived, the treatment is immediately hidden from the patient app.

Archive a package

  1. Log in to your Admin Dashboard.

  2. Click Packages in the Catalog -> Services section of the left-side navigation.

  3. Find the package you want to archive.

  4. Click the three-dot menu on the right side.

  5. Select Archive Package.

  6. Review the warning message and confirm.

Once archived, the package is immediately hidden from the patient app.

Unarchive a treatment or package

  1. Open Treatments or Packages in the Catalog -> Services section.

  2. Switch to the Archived tab or filter to archived items.

  3. Find the item and open the three-dot menu.

  4. Select Unarchive Treatment or Unarchive Package.

  5. Manually re-add the item to any promotions, memberships, or rewards where it should appear again.

Best Practices and Pro Tips

  • Check linked programs before archiving. Open promotions, memberships, and rewards that reference the treatment or package so you know what will update automatically.

  • Add a replacement before archiving sole options. If the item is the only eligible option in a program, add another treatment or package first to avoid the archive block.

  • Document what you unarchive. After unarchiving, walk through each linked promotion, membership, and reward to re-add the item. Unarchiving alone does not restore those connections.

  • Archive instead of deleting when patients hold unredeemed units. Archiving preserves wallet access for patients who already purchased.

  • Coordinate with your team when archiving high-volume services. Front desk and clinical staff should know the service is no longer purchasable in the app.

Q: Can patients still redeem treatments or packages they already purchased?

A: Yes. Archiving only prevents new purchases. Patients who already bought the treatment or package retain access in their wallet.

Q: Does archiving affect membership billing?

A: No. Billing continues as normal. The archived treatment or package will no longer appear as a redeemable option within the membership.

Q: Why can I not archive a treatment or package?

A: It may be the only option tied to a promotion, membership, or reward. Add a replacement treatment or package, or remove the program, then try archiving again.
