Create and manage a sign-up reward (Admin Panel)

Learn how to create, generate, edit, and archive your sign-up reward so new patients get a compelling offer the moment they join your app.

Overview

A sign-up reward is the offer new patients see when they sign up for your RepeatMD app. It's one of the most effective tools for turning an app install into a first booking. This article covers how to create a sign-up reward manually, generate one with AI, edit and publish drafts, and archive or replace an existing sign-up reward.

This article is for practice owners, managers, and admins responsible for building or updating sign-up rewards in the Admin Panel.

Before You Start

  • You must have Administrator or Manager access to create, edit, archive, or republish sign-up rewards.

  • You can only have one active sign-up reward per location. If a location already has a sign-up reward, you'll need to archive it (or target your new reward to different locations) before publishing.

  • Sign-up rewards live in the Sign-Up Rewards section of the Rewards page, under Rewards in the MedCommerce Engine section of the left-side navigation.

  • Sign-up rewards do not include an image. They display as a text-based offer with a title and optional disclaimer.

  • If your practice uses Ageless AI, your sign-up reward also appears in your Ageless assessment experience.

Why It Matters

The sign-up reward is the first impression your app makes on a new patient. A well-crafted sign-up reward:

  • Drives app sign-ups by giving patients a concrete reason to create an account.

  • Converts installs into first bookings with a clear call to action right after sign-up.

  • Sets the tone for the patient relationship by leading with value.

  • Supports location-level strategy so multi-location practices can tailor the offer to each location's mix.

  • Feeds your Ageless assessment, if enabled, giving patients an early-engagement touchpoint.

How It Works

One active reward per location. Each location can have only one live sign-up reward at a time. When you publish a new reward that conflicts with an existing one, RepeatMD prompts you with "A sign-up reward already exists for this location." You can choose Archive existing reward to swap it in one step, or I'll change location to target your new reward somewhere else.

In-app vs. in-office redemption. The Reward valid setting controls where patients can redeem. In-app lets patients redeem directly in the RepeatMD patient app. In-office signals that the patient redeems at the front desk during their visit.

Included services and discount behavior. Your sign-up reward applies to whichever services or products you choose under Included Services. If a membership is among the included items, the discount applies only to the first month of membership. All subsequent renewals are billed at the original price.

RepeatCash conversion. When Convertible to RepeatCash is enabled, patients can choose to convert the sign-up reward into RepeatCash instead of redeeming the discount directly. This gives them flexibility on how and when to apply the value.

Ageless integration. On Ageless-enabled practices, the sign-up reward is also surfaced in the Ageless assessment flow. Keep this in mind when writing the reward title and setting the discount.

Step-by-Step Instructions:

Create a sign-up reward manually

  1. Log in to your Admin Dashboard.

  2. Click Rewards in the MedCommerce Engine section of the left-side navigation.

  3. In the Sign-Up Rewards section, click + Create sign-up reward in the bottom right of the section.

  4. In the Create a sign-up reward drawer, fill in Basic Reward Information:

    • Reward valid: Choose In-app or In-office.

    • Reward title: Enter the offer (up to 100 characters). Example: "15% off a treatment of your choice."

    • Disclaimer (optional): Enter any conditions. Example: "Minimum spend of $150 required."

  5. Under Valid Locations, select All or check specific locations.

  6. Under Discount Type, choose one:

    • Percentage then enter the % off amount.

    • Set $ amount then enter the dollar amount off.

    • Free Service to offer a free service or product.

  7. Under Included Services, select Includes or Excludes, then use Select included services to choose the services (or products) the reward applies to.

  8. Under Is there a minimum order total required to use this reward?, select Yes or No. If Yes, enter the minimum amount.

  9. Toggle Convertible to RepeatCash on if patients can convert the reward into RepeatCash instead of redeeming the discount directly.

  10. Finish the reward:

    • Click Save as draft to save without publishing, or

    • Click Publish reward to make it live.

If a sign-up reward already exists for one of the selected locations, you'll see a dialog: "A sign-up reward already exists for this location." Click Archive existing reward to replace it, or I'll change location to adjust your targeting and try again.

Generate a sign-up reward with AI

To generate a sign-up reward automatically from your catalog, click Generate Rewards in the top right of the Rewards page. A single run produces one sign-up reward draft plus 27 visit reward drafts, all based on your uploaded services and products.

Edit and publish a sign-up reward draft

  1. On the Rewards page, click the Drafts tab in the Sign-Up Rewards section.

  2. Find the draft sign-up reward you want to publish.

  3. Click the three dots on the right side of the reward.

  4. Make any final changes to the title, disclaimer, locations, discount type, included services, minimum order, or RepeatCash conversion setting.

  5. Click Publish Reward.

The reward moves to the Available tab. If another sign-up reward is already live for that location, you'll be prompted to archive it first.

Edit a live sign-up reward

  1. Click the Available tab in the Sign-Up Rewards section.

  2. Click the three dots on the right side of the live reward.

  3. Select Edit Reward.

Archive or replace a sign-up reward

To swap your active sign-up reward for a new one:

  1. On the Rewards page, click the Available tab in the Sign-Up Rewards section.

  2. Click the three dots on the right side of the current sign-up reward.

  3. Select Archive Reward. The reward moves to the Archived tab.

  4. Publish your new sign-up reward.

You can also let the system do it in one step. When you try to publish a new sign-up reward that conflicts with the current one, click Archive existing reward in the confirmation dialog to archive and swap simultaneously.

Republish an archived sign-up reward

  1. Click the Archived tab in the Sign-Up Rewards section.

  2. Click the three dots on the right side of the archived reward.

  3. Select Republish Reward.

If the location already has an active sign-up reward, you'll be prompted to archive that one first.

Best Practices and Pro Tips

  • Lead with value, not logistics. "15% off your first treatment" lands harder than "Welcome discount available."

  • Use the disclaimer to protect margin. A minimum spend or exclusion list keeps the offer from being used against your lowest-margin items.

  • Match the reward to the location's mix. A sign-up reward that highlights injectables may work at one location and underperform at another. Use location targeting.

  • Iterate with drafts. Use Save as draft to test copy with your team before publishing. Patients never see drafts.

  • Refresh quarterly. A stale sign-up reward loses its pull. Review every 90 days and swap in a new one.

  • Coordinate with your front desk. When you change the sign-up reward, make sure your team can explain it to patients at the desk.

  • Enable RepeatCash conversion when flexibility matters. Giving patients the option to convert often leads to higher perceived value.

  • For Ageless-enabled practices, test the reward inside the assessment. The offer should feel appropriate in the Ageless flow, not jarring.

Common Mistakes and FAQs

Q: Why can't I publish a new sign-up reward?

A: Each location can have only one active sign-up reward at a time. If a sign-up reward already exists for a location you selected, you'll see a prompt to Archive existing reward or I'll change location. Archiving the existing reward frees up the location for your new one.

Q: Can I have different sign-up rewards for different locations?

A: Yes. If you run multiple locations, you can publish a separate sign-up reward for each location. Just make sure each reward's Valid Locations selection is specific to that location.

Q: Why doesn't the sign-up reward have an image field?

A: Sign-up rewards (and all reward types) are text-based. They display the Reward title and Disclaimer to patients, not an uploaded image.

Q: What's the difference between In-app and In-office redemption?

A: In-app lets patients redeem the reward directly through the patient app. In-office signals that the patient redeems with a team member during their visit. Choose the option that matches how you want the redemption to happen.

Q: What does Convertible to RepeatCash do?

A: When enabled, patients can choose to convert the sign-up reward into RepeatCash instead of using the discount directly. This gives patients flexibility to apply the value later or toward a different purchase.

Q: If my sign-up reward includes a membership, does the discount apply to renewals?

A: No. Discounts apply only to the first month of membership. All subsequent renewals are billed at the original price.

Q: What happens to an archived sign-up reward?

A: Archived sign-up rewards move to the Archived tab and are no longer shown to new patients. Patients who unlocked but did not redeem the reward lose access to it. Patients who already redeemed it keep the redemption in their history, but cannot redeem it again. You can Republish Reward from the Archived tab at any time.

Q: Does editing a live sign-up reward affect patients who already signed up?

A: Edits apply to patients who have not yet interacted with the reward in a final way. Patients who already redeemed or converted the reward keep the original version. See Manage your rewards (Admin Panel) for the full edit-impact rules.

Q: Who can create, edit, archive, or republish sign-up rewards?

A: Both Administrators and Managers have full access. Lower-access roles cannot.
