Calculate visit value for your rewards program (Admin Panel)

Learn how visit value ties check-ins and in-app spend together so you can set visit milestones that match your pricing and margins.

Overview

Visit value is the dollar amount your practice assigns to one patient check-in or one in-office visit. It works with your visit reward unlock milestones so patients can progress toward rewards through check-ins, in-app purchases, or both.

This article is for practice owners, managers, and admins planning or adjusting a visit-based rewards program. Visit value itself is configured by your RepeatMD Client Experience Manager (CEM) — this article explains the concept and math so you can make informed decisions when building visit rewards under Rewards in the MedCommerce Engine section of your Admin Panel.

Before You Start

  • Visit value is set by your CEM during onboarding. Contact your CEM to set or update it.

  • Open Rewards from the MedCommerce Engine section of the left-side navigation to configure visit reward unlock milestones after visit value is in place.

  • Patients earn progress toward visit rewards through in-app purchases and patient check-ins at your practice.

Why It Matters

Visit value determines how quickly patients reach each milestone. Set it thoughtfully to:

  • Balance generosity with margin. A higher visit value means patients reach unlock thresholds faster; a lower value stretches milestones across more spend.

  • Unify check-ins and in-app spend. Patients do not need to choose one path — both count toward the same progress bar.

  • Align milestones with your average ticket. Visit value should reflect what a typical visit or purchase is worth at your practice.

  • Give your front desk a clear story. When staff understand the math, they can explain progress trackers confidently to patients.

How It Works

What visit value represents: Visit value is the dollar weight assigned to one check-in or one visit. When a patient checks in, their progress increases by one visit and by the visit value dollar amount.

Unlock formula: To find the total spend threshold for a visit reward:

(Visit value) × (Number of visits to unlock the reward) = Dollar amount needed to unlock the reward

Worked example:

  • Visit value: $400

  • Unlock milestone: 3 visits

  • Threshold: $400 × 3 = $1,200 in combined check-in value and in-app spend

How check-ins and purchases combine. Progress is tracked live on the patient’s Rewards screen:

  1. A patient checks in once → progress shows 1 visit and $400 toward the next reward.

  2. The tracker might read: Visit 2 more times or spend $800 to unlock your next reward.

  3. The patient later makes an $800 in-app purchase.

  4. Combined progress hits $1,200 → the patient unlocks the reward.

Check-ins and purchases are interchangeable toward the dollar threshold. A patient can unlock entirely through check-ins, entirely through in-app spend, or a mix of both.

Relationship to visit rewards: Each visit reward unlocks at a specific visit count (for example, 3 visits, 6 visits, 9 visits). Visit value scales the dollar side of that milestone. Configure individual rewards on the Visit Rewards section of the Rewards page.

Step-by-Step Instructions

Confirm your visit value with your CEM

  1. Review your average service ticket and how often patients visit.

  2. Contact your RepeatMD CEM with your target visit value (for example, $300, $400, or $500 per visit).

  3. Your CEM applies the visit value to your account. Request updates anytime your pricing or strategy changes.

Plan unlock milestones using the formula

  1. Open Rewards in the MedCommerce Engine section of the left-side navigation.

  2. In the Visit Rewards section, note the visit counts you want for each reward (for example, 3, 6, 9, 12 visits).

  3. For each milestone, multiply visit value × visit count to see the dollar threshold patients must reach.

  4. Create or adjust visit rewards to match. See Create a reward for in-app redemption (Admin Panel) for the full creation flow.

Validate progress with a test scenario

  1. Pick one milestone (for example, 3 visits at $400 visit value = $1,200 threshold).

  2. Walk through a sample patient journey: one check-in plus an in-app purchase that sums to the threshold.

  3. Confirm the tracker messaging matches what your team will explain at the front desk.

Best Practices and Pro Tips

  • Work with your CEM on visit value. They factor in your service mix, margins, and competitive positioning — not just a round number.

  • Space milestones across the patient lifecycle. Early milestones (2–3 visits) drive quick wins; later milestones (9–15 visits) sustain long-term loyalty.

  • Revisit visit value when your menu changes. New high-ticket services or a shift to retail-heavy mix may warrant a CEM update.

  • Use AI generation as a starting point. Generate rewards with AI (Admin Panel) produces draft visit rewards from your catalog; adjust milestones after you confirm visit value.

  • Coordinate with sign-up rewards. Visit value affects visit milestones only. Sign-up rewards are separate — see Create and manage a sign-up reward (Admin Panel).

Common Mistakes and FAQs

Q: Who sets visit value — can I change it in the Admin Panel?

A: Your RepeatMD CEM sets visit value during onboarding and can update it on request. It is not a self-serve field on the Rewards page.

Q: Do in-app purchases and check-ins count equally?

A: Yes. Both contribute toward the dollar threshold for the next visit reward. Check-ins add one visit count plus the visit value dollar amount; in-app purchases add their purchase amount toward the same progress bar.

Q: If visit value is $400 and the unlock is 3 visits, does the patient need exactly $1,200 in purchases?

A: They need $1,200 in combined progress — from check-ins (each valued at $400) and/or in-app spend. Three check-ins alone would satisfy both the visit count and dollar threshold.

Q: Does visit value affect sign-up rewards?

A: No. Visit value applies to Visit Rewards unlock milestones only. Sign-up rewards trigger on app sign-up, not visit counts.

Q: How does visit value relate to RepeatCash?

A: Visit value controls progress toward unlocking rewards. RepeatCash is the optional dollar value patients can bank when they convert an unlocked reward. Configure RepeatCash per reward — see Set up and manage RepeatCash (Admin Panel).

Q: Can I use the AI generator without knowing my visit value?

A: You can generate drafts anytime, but confirm visit value with your CEM before publishing visit rewards so milestones align with your economics.
