Best practices for your membership program (Admin Panel)

Learn how to design membership tiers, pricing, and incentives that convert patients, protect margins, and drive recurring revenue in your Admin Panel.

Overview

With the current version of RepeatMD, membership benefits and exclusive member pricing reflect across your entire menu of services. Non-members see the savings they would get by enrolling; enrolled members always see their member pricing in the app. That transparency makes membership design choices — tier count, included treatments, discount scope, and commitment length — directly affect conversion and retention.

This article covers the rules of membership creation, how memberships compare to custom packages, and reference templates for common tier structures (tox, Silver, Gold, Platinum). Use it alongside Build a membership (Admin Panel) for setup steps.

This article is for practice owners, managers, and admins who are planning or refining a membership program before building it in the Admin Panel.

Before You Start

  • You must have Administrator or Manager access to create and publish memberships.

  • Open Memberships from the Catalog -> Services section of the left-side navigation.

  • Know your menu pricing, treatment costs, and target monthly fee before choosing included treatments and discount percentages.

  • Review Build a membership (Admin Panel) if you have not yet created a membership.

  • For billing cadences outside the default monthly schedule, see Set up flexible membership billing (Admin Panel).

Why It Matters

Well-designed memberships increase lifetime value without eroding margins. Poorly designed ones confuse patients or cost more than the monthly fee brings in. These principles apply across every membership you build:

Less is more. Overcomplicating memberships prevents patients from identifying value and deters enrollment. Start with one or two clear tiers before expanding.

Discounts should encourage broader spending. Offer an incentive applicable across services — typically a percentage off per tier — so members invest in additional treatments and packages. Avoid creating a singular experience where patients only use one discounted service and never explore the rest of your menu.

Included treatments should match your monthly fee. The “free treatment or perk a month” should cost around the same as your monthly fee. When the redeemable treatment is approximately equal to the monthly fee, at minimum that treatment is paid for via the membership fee. Offering free services that typically cost more than the monthly fee can erode margins.

Commitment length affects conversion. Internal data shows shorter commitment lengths (around 3–6 months) produce higher conversion rates. To avoid commitment fatigue, set up incremental incentives patients work toward (for example, milestone bonuses at 3, 6, or 12 months). Note: Even if a membership includes a minimum commitment, state laws may allow patients to cancel at any time depending on where your practice is located.

Rollover improves perceived value. For memberships with included treatments, keep treatment rollover turned on so patients can redeem when it works for them. Without rollover, patients lose unused treatments at the end of the interval, which leads to frustration and lower perceived value.

Build for your practice, not a template. Pricing, payment schedule, number of tiers, and incentives should match your clientele and business goals. No business is one-size-fits-all.

Member pricing is visible everywhere. RepeatMD reflects membership benefits and pricing across the app. Enrolled members always see their exclusive pricing; non-members see what they would save by joining. Design discounts with that visibility in mind.

How It Works

Memberships versus custom packages

Before building, ask: “Would this work better as a membership or a custom package?”

Memberships

Custom packages

Structure

Recurring fee (monthly, quarterly, or yearly) for ongoing access to member pricing and perks

Targeted bundle — multiple quantities of a service or a bundle of similar services for a specific outcome

Best for

Ongoing relationship, cross-sell, and upsell across your full menu

A defined treatment plan with a clear start and end

Financing

Memberships cannot be financed

Custom packages can often be financed

Pricing

Lower monthly fee with recurring billing

Typically higher upfront or bundled price

Examples of top-selling memberships:

  • Tox membership — lower monthly fee combined with one other incentive that brings patients in monthly (for example, a B12 shot).

  • Tiered offerings (Silver, Gold, Platinum) — monthly fee increases as each tier’s incentives grow in value; brings patients in monthly for cross-sell and upsell.

Examples of top-selling custom packages:

  • Modern Weight Management — includes 1 basic lab report, 12 injections, and 4 in-body scans.

  • Mix n Match Removal — includes 6 thirty-minute LHR sessions for 4 small areas.

  • Facial Rejuvenation — includes 30 units of tox every 6 months and 2 syringes of filler per year.

See Create a custom curated package for package setup.

How tier incentives typically combine

Most successful memberships layer several incentive types:

  1. Unit pricing — dollar-off per unit for tox and/or filler (popular for tiered programs).

  2. Retail/skincare discount — percentage off products sold at your location.

  3. Service discount — percentage off regularly priced treatments and packages (often excluding tox and filler when VIP tox pricing is separate).

  4. Included monthly treatment — one or more treatments patients can choose from, priced near the monthly fee.

Practices often exclude tox and filler from the “all services” percentage discount when they already offer VIP unit pricing as a separate membership benefit.

Step-by-Step Instructions

Use these reference templates when planning your tiers. Adjust pricing and benefits to match your menu and margins.

% off treatments

5–10% off

10% off all services

Included monthly treatment

Optional perk that brings patients in monthly (for example, B12)

Monthly B12 shot

Planning notes:

  • Some practices fold tox incentives into tiered programs instead of a standalone tox membership to encourage higher monthly fees and broader service trial.

  • Tox memberships may not suit practices whose botox patients do not visit monthly.

  • A moderate monthly fee plus a monthly perk (such as B12) adds value and creates cross-sell opportunities.

Guide

Example

Price point

~$99/month

10% off all services (minus tox + filler)

Included monthly treatment

Selection of ~2 treatments near the $99 price point

Choose from: LHR (small area) or custom facial

Planning notes:

  • Make your lowest tier cost close to your most inexpensive service offerings.

  • Exclude tox from the “all services” discount when VIP tox pricing is a separate benefit.

  • Free monthly perk value should align with the monthly fee.

Choose from: LHR small area, LHR medium area, or Hydrafacial

Planning notes:

  • Monthly treatment options should have low consumable cost or not exceed the monthly fee.

  • Exclude tox from the blanket service discount when VIP tox pricing applies.

Plan a Platinum membership

Guide

Example

20% off all services (minus tox + filler)

Included monthly treatment

Selection of ~4 treatments near the $299 price point

Choose from: Forma full face and neck, LHR large area, custom facial, or VI Peel

Planning notes:

  • Same consumable-cost and tox-exclusion guidance as Gold.

  • Platinum works best when the included treatment menu clearly exceeds Silver and Gold in perceived value.

Build your planned membership in the Admin Panel

  1. Log in to your Admin Dashboard.

  2. Click Memberships in the Catalog -> Services section of the left-side navigation.

  3. Create a new membership or edit a draft.

  4. Configure basics (name, price, commitment, image, description) per your tier plan.

  5. Add membership benefits, included treatments, and optional bonuses per the templates above.

  6. Publish when all required fields are complete.

See Build a membership (Admin Panel) for full setup steps and links to each Smart Benefit type.

Best Practices and Pro Tips

  • Start with fewer tiers. One or two well-defined memberships outperform four confusing ones.

  • Align included treatment value with monthly fee. Patients should feel they are getting fair value; you should not lose money on the monthly perk.

  • Use milestone bonuses for long-term loyalty. Incremental unlocks at 3, 6, and 12 months reward retention without requiring a long upfront commitment.

  • Turn on treatment rollover for included treatments so patients stay in control of when they redeem.

  • Exclude tox from blanket discounts when you offer separate VIP unit pricing — avoids double-discounting and margin erosion.

  • Pair First Month Free with a 3-month minimum commitment if you use that promotional offer.

  • Choose flexible billing when monthly cadence does not fit your service (for example, quarterly tox plans). See Set up flexible membership billing (Admin Panel).

  • Review member pricing in the app after publishing to confirm non-member and member prices display correctly across your shop.

Common Mistakes and FAQs

Q: How many membership tiers should I offer?

A: Start with one or two. Add tiers only when each has a clear, distinct value proposition. Too many options create analysis paralysis.

Q: Should my included monthly treatment cost more than the monthly fee?

A: No. Keep included treatments at or below the monthly fee so the perk is sustainable. Higher-cost treatments erode margins over time.

Q: Membership or custom package for a bundled treatment plan?

A: Use a custom package when the goal is a defined outcome over a fixed period (for example, a 12-injection weight management series). Use a membership when you want ongoing relationship, recurring billing, and shop-wide member pricing.

Q: Can patients finance a membership?

A: No. Memberships cannot be financed. Custom packages can often be financed — another reason to choose packages for high-ticket, finite bundles.

Q: What commitment length converts best?

A: Internal data suggests 3–6 months. Balance conversion with retention using milestone bonuses for longer-term loyalty.

Q: Should I turn on treatment rollover?

A: Yes, in most cases. Rollover gives patients flexibility and improves perceived value when they cannot redeem every month.

Q: Do state laws override my minimum commitment setting?

A: Possibly. Some states allow patients to cancel at any time regardless of the commitment period configured in RepeatMD. Check local regulations for your practice locations.

Q: Where do I set up the membership after planning?
