✨ When You Need This Guide

Use this guide if you:

  • Want to be emailed when a patient texts in

  • Are worried about missing text messages from patients

  • Need a backup notification in case no one sees the message right away

  • Can’t always check the Aloha inbox but still want to stay informed

This automation helps ensure no patient message slips through the cracks.


šŸ”§ What You’ll Need First

Make sure:

  • You have access to your Aloha account’s Automation page

  • You know the email address(es) where alerts should be sent


šŸ“Œ What This Covers (And What It Doesn’t)

This guide helps you:

  • Turn on email notifications for unseen texts

  • Set how long a message must be ā€œunreadā€ before sending an alert

  • Customize the email recipients for these alerts


āœ… Set Up Email Notifications for Unseen Texts

  1. Click the gear icon āš™ļø
    This is in the top-right corner of your Aloha account.

  2. Go to the Automation page
    This is where you’ll manage time-saving features like reminders and alerts.

  3. Scroll to the bottom of the page
    Look for the section titled Texting Automation.

  4. Turn on the email alert toggle

    • Click the toggle switch to enable it (it should show a blue check).

    • This will allow email notifications to be sent if a patient text goes unread for too long.

  5. Set the delay time

    • Choose how long a message can go unseen before the system sends you an email.

    • Example: Set it to 10 minutes if you want to be notified after 10 minutes of no one opening a patient’s message.

  6. Enter the email(s) you want alerts sent to

  7. Click ā€œSave Texting Settingsā€ šŸ’¾
    Don’t skip this step—your changes won’t go live until you save them.

Make sure the feature toggle is on and the email address is correct

Check your spam/junk folder

Increase the time delay before a message is considered ā€œunreadā€
