It’s go-time! With the Practice Manager, checking patients in and out is quick, smooth, and keeps your day moving right along.
☕ Checking a Patient In
Head to the Practice Manager
Find the patient under Today's Appointments
Click the options menu (three dashed lines) next to their appointment
From here, you can:
Summary- View or edit appointment details
Outcome- Where providers enter notes, diagnoses, charges, and treatment plans
Add Note- Add an appointment note visible on the appointment tile and Outcome screen
Patient in Office- Mark the patient as arrived but not quite ready to be seen
Check in- Assign a room or resource and complete check-in
Checkout or Cancel Appointment if needed
✨ Quick tip: You can also drag the appointment tile from Today’s Appointments straight into Checked In.
🎉 Checking a Patient Out
Locate the appointment in the Practice Manager
Open the options menu and select Checkout
The Checkout Summary gives you everything you need in one place:
Today's Appointment- Key visit details and resources used
Plan Notes- Important instructions or follow-ups from the provider
Care Plans - Any active care plans
Future Appointments- What is already scheduled
Treatment Plan- Provider recommendations for ongoing care
Next Appointment Request- Guidance on when to schedule next
Appointment Notes - Notes added during scheduling or check-in
Today's Charges- Services and products from the visit, with the option to add more
When you're ready, select Mark Appointment Complete to move the patient to Checked Out.
💳 Taking Payment
From Today’s Charges, select Create Invoice to head to the payment screen. Here you can:
Add last-minute charges
Apply discounts
Remove line items
Generate a PDF invoice
Complete payment and mark the appointment complete
✨ Behind the scenes, this creates an appointment-associated invoice, which is used for insurance claims, HCFA forms, personal injury cases, and HSA/HRA billing. Any diagnoses, treatment codes, or modifiers entered during the visit will flow right onto the invoice and related forms.
And just like that—you’re ready for the next patient!
