✨ When You Need This Guide

This guide will help you get the most out of your main dashboard. It's the right place for you if you are asking:

  • Where can I find my general "office stats"?

  • How can I see my scheduling stats, like how many appointments were booked or canceled?

  • Where are my feedback stats and online review summaries?

  • How can I respond to feedback or a new Google review?

  • Is there a way to export a report of my practice's performance?

What This Covers (And What It Doesn't)

  • βœ… This guide covers the high-level stats on the main Dashboard, including how to find scheduling data and reply to public reviews.

  • ❌ It does not cover the detailed reports regarding who has scheduled or received feedback. For this information, see our Scheduling History and Feedback History guides.

βœ… Finding and Understanding Your Office Stats

Your Dashboard is the command center for your office's performance at a glance.

  1. Go to your Dashboard. It's the main screen when you log in. You can always get back to it by clicking the Aloha logo in the top-left corner of the page.

  2. Review the main statistics boxes. At the top of the page, you'll find a snapshot of your key performance indicators (Patient Visits, Show Rate, Number of Scheduled Leads, etc)

  3. Messaging Stats: Track your Text Messages sent and received.

  4. Feedback & Review Stats: View a summary of your recent patient Feedback and public online Reviews.

βœ… Actions You Can Take on the Dashboard

Your dashboard isn't just for viewing; you can also perform key actions right from this screen.

  1. Change the Date Range

    • Use the date selector in the top-right corner to view stats for a specific day, week, month, or a custom period. The entire dashboard will update instantly to reflect the dates you choose.

  2. Export Your Data

    • Click the EXPORT button next to the date range.

    • What to expect: This action immediately creates a report file and sends it via email. The file will be sent to the "Login Email" on file for your account, not necessarily your personal login email.

  3. Respond to Feedback (Public Reviews)

    • Scroll down to the reviews section at the bottom of the dashboard.

    • What to expect: You can reply directly to Google & Facebook reviews. Simply find the review you wish to respond to and click the orange Reply button underneath it. Next, type your response and and click Save.

πŸ’‘ Common Questions & Issues

If you can't find what you're looking for, check these common scenarios.

What You Might Notice

Why It's Happening

How to Fix It

The numbers on the dashboard seem too low or incorrect.

The most common reason for this is that the date range filter is set to a shorter period than you intend to view (e.g., set to "Today" instead of "This Month").

In the top-right corner, double-check the date range filter. Adjust it to the correct period you want to analyze, such as This Month, Year to date, or a custom range.

I clicked Export, but the file never arrived in my email.

The export is automatically sent to the official "Receipt Email" on file for the account, which may be different from your personal login email.

Check with your account administrator to confirm which email address is the primary "Receipt Email." Also, be sure to check that email account's spam or junk folder.

New reviews from Google or Facebook are not appearing on my dashboard.

The connection between Aloha and your Google or Facebook Business Page may have been disconnected, which can happen periodically for security reasons.

Reconnect your accounts. Go to the Gear Icon > Integrations. Under the Other Integrations sectoin, select Google (or Facebook) from the dropdown and click the sign-in button to re-authorize the connection.

πŸŽ‰ You'll Know It's Working When:

  • You can easily locate your performance metrics numbers for any given week.

  • The stats on the page update correctly after you change the date range.

  • You successfully post a reply to a Google review and see it appear online.

  • The exported data file arrives in the designated office inbox.
