The process for submitting your hours differs slightly depending on whether you are finishing a job today (a "live job") or logging details for a job day that has already passed.

Logging Hours for a Job Completed Today

Once your assignment for the current day is finished, follow these steps to finalise and submit your hours:

  1. Navigate to the ‘Live job’ page

  2. Click on ‘View

  3. Scroll to the bottom of the page and click on ‘Complete job

A pop-up will appear asking you to confirm that you want to complete the job; you must select ‘Yes’. (Selecting ‘No’ allows the job timer to carry on running. You will be taken to a new page where you need to update the specific job details:

  • You must update the job start and end time.

  • You are required to upload a photo of your logbook.

  • You can optionally add comments or feedback for the hiring company.

  • You must select how you wish to charge the hiring company.

For hourly rate jobs, you can opt to charge the company for the actual time you worked (for example, if the job was booked for 6 hours but took 7 hours, you can charge for the full 7 hours, with additional hours charged based on your standard hourly rate). Alternatively, you can choose to charge the company only for the booked time (for example, the 6 hours the company initially requested).

Note on Fixed Price Offers (FPO): If you accepted a fixed day rate for this job, this selection will not change your payment. You will be paid the agreed-upon flat rate for the day's work, regardless of the actual or booked hours.

Click on ‘Submit’ to share all the details with the hiring company.

Logging Hours for a Job with a Past-Date

If you accept a job after it has already started (for example, accepting on November 7th for a job that began on November 6th), the first day (November 6th) is automatically sent to your ‘Completed jobs’ section in the Road Ninja app.

To submit details for a job with a past date:

  1. Navigate to the ‘My jobs’ page.

  2. Click on the filing icon located in the upper right corner of the page. This takes you to the ‘Completed jobs’ section.

  3. Click on ‘Log hours’ for the specific past job.

  4. You must update the job start and end time.

  5. Choose whether you will charge the company for the actual time you worked (charging for additional hours based on your hourly rate) or if you will charge only for the booked time.

  6. Upload a photo of your logbook.

  7. You can optionally add comments or feedback for the hiring company.

Click on ‘Submit’ to send these details to the hiring company.

Review Process and Job Status Updates

Whether you submit hours for a live job or a past job, the process for approval and payment status is the same:

  • The hiring company is notified, and must review the submitted job details and approve the job for payment.

  • While the company reviews your submission, the job status will be displayed as ‘In review’.

  • Once the company approves the details, the status updates to ‘Confirmed’.

  • When the payment is finalised, the status will update to “Paid on X date at x time”.

If Submission is Interrupted

If you click on ‘Complete job’ but leave the page without updating your hours and attaching the logbook photo, the job will move to the ‘Completed jobs’ section and show the label ‘In review

If this happens, you can still update your details:

  1. Click on ‘My jobs’.

  2. Click on the filing icon located in the upper right corner of the page. This takes you to the ‘Completed jobs’ section.

  3. Click into the specific job.

  4. Click on ‘Update’.

  5. This opens a section where you can update your job hours.

Crucially, if the submission was interrupted, you cannot attach the logbook photo through this 'Update' function, and will need to attach your logbook photo to the chat section of the job.
