Salesbuildr has imported your products, services, labor, and categories from your PSA. To start with a clean, streamlined portfolio, follow these recommended steps:
1. Set Up a Category Strategy
Path: products > categories
Categories form the backbone of your standardization and automation. They allow you to assign markups, add-ons, and shipping, so Salesbuildr can automatically configure these for every quote item. For optimal organization, we suggest categorizing items by the rules you apply. Our best pratice is found on this page.
Example: A category named "HP Laptop" could include a 20% markup, a mandatory "Laptop Installation" add-on, and an optional "Keyboard" add-on. Adding an HP Laptop to a quote will apply these settings automatically.
For services, we recommend keeping the PSA structure as it is your master data source. For products, consider these actions:
Move categories: Restructure as needed without affecting your PSA.
Add new categories: Create these in both Salesbuildr and your PSA and map them in Salesbuildr afterwards at (
Admin > Product Import
).Delete unused categories: Only empty categories can be deleted. Use the bulk editor on the product page to reassign products if needed.
Once your categories are organized with markups and add-ons, you’re ready for the next step.
2. Clean Up Legacy Products and Data
Path: Products
Most imported data may include outdated or unusable items. We recommend a fresh start by following these steps:
Products without an MPN: These products won’t sync data from distributors and are often legacy items.
Filter:
Type: Product, Part Number: Unavailable
Action: Select all, bulk edit to unlist. Re-create as services if needed within your PSA.
End-of-Life Products: Products not found with any distributor are likely outdated.
Filter:
Type: Product, Part Number: Available, Stock: Not found
Action: Select all, bulk edit to unlist, allowing easy restoration if needed.
Clear Explicit Pricing: PSA imports may have explicit pricing, which doesn’t update with distributor costs, risking over- or undercharging.
Filter:
Type: Product, Part Number: Available, Has Explicit Price Configured: Yes
Action: Bulk edit to “Clear explicit price” do this for cost, markup, and distributor as well
3. Enrich Product Information
To fully prepare products for customer-facing documents, enrich them with details like descriptions, images, and manufacturer data using the MPN number.
Filter: Type: Product, Part Number: Available
Action: Select all, then fetch additional information for selected products.
By following these steps, your portfolio will be organized, accurate, and ready for efficient quoting and selling.
