How to Compare Timesheets to the Roster

Instructions to confirm submitted timesheets are correct before approving

By comparing timesheets to the roster, managers can see whether staff worked their scheduled hours, and identify any discrepancies. This process supports accurate payroll, helps track labour costs against budgets and ensures compliance with workplace requirements. This guide explains how to compare timesheets to the roster.

Comparing Timesheets to the Roster

  1. Select Approving Timesheets from the column at the left.

  2. Click on Filter.

  3. Select the timesheets you wish to review, and then click Apply.

  4. Toggle through dates for the correct period.

  5. Submitted timesheets for this period are listed by day.

  6. Click on Compare to Roster.

  7. For each timesheet, the logged hours appear directly above the rostered hours.

  8. No rostered times are shown for unrostered shifts.

  9. Missing Timesheet means an employee failed to clock in or out.

  10. Start and end times are colour-coded for ease of comparison.

  11. Red indicates the employee was late to start or early to finish.

  12. Green indicates starting early or on time, and leaving late, but not later than 10 minutes.

  13. Finishing more than 10 minutes late is shown in blue to highlight that further information is needed before approving.

  14. Once you have established the cause for a longer shift β€” such as forgetting to clock off, or being extended due to demand β€” you can edit the timesheet if required.

  15. If a timesheet for a worked but unscheduled shift is missing, follow the instructions to create a timesheet.

  16. Staff can also create and submit these timesheets through the app.

  17. Before approving, edit timesheets by clicking on the pen and paper icon under Action.
