Staff Rota

Manage your team’s availability to ensure your online booking calendar only shows slots when groomers are on shift.


📍 Path: Go to Cog Settings → Staff → Staff Rota


Quick Access

  1. Go to SettingsStaff.

  2. Click the Staff Rota tab.

  3. Choose Location: Select the site from the top-left dropdown if you manage multiple locations.

  4. Date Selector: Use the top-centre controls (left/right arrows or the date picker) to move through weeks.

How to Add a Single Shift

  1. Find the row for the staff member and the specific day you want to schedule.

  2. Click + Add inside that day’s cell.

  3. Choose Add shift from the menu.

  4. Fill in the details: start time, end time, breaks, and any relevant notes.

  5. Save: The shift will appear as a coloured block displaying the total hours.

How to Add a Recurring Schedule

  1. Click + Add on the desired staff/day cell.

  2. Choose Add as recurring schedule.

  3. Select the repeat days, start/end dates (or set as ongoing), and the shift times.

  4. Save: The recurring block will populate across the relevant weeks.

How to Edit or Delete a Shift

  1. Click the coloured shift block for the staff member.

  2. Edit: Update times, breaks, notes, or recurrence in the editor.

  3. Delete: Use the Delete option inside the editor and confirm to remove the shift.

  4. Save: Always save changes to update the live rota.

How to Add a New Staff Member to the Rota

  1. Go to the Staff List tab.

  2. Add the staff member there with their name, email, and location.

  3. Return to Staff Rota; the new member will now appear in the list, allowing you to add their shifts.


Managing Shifts

  1. Weekly View: Use the calendar icon or arrow buttons to navigate to specific dates.

  2. Adding a Shift: Click the + Add link on any blank day next to a staff member's name.

  3. Setting Times: Enter the start and end times for the shift (e.g., 09:00–17:00). The system will automatically calculate the total hours worked (e.g., 8 hrs).

  4. Viewing Schedules: Shifts are colour-coded by staff member for easy visual identification on the weekly grid.
