The Omni Workbench has a number of filters you can use to find or manage the records or activities that you are viewing.
The Omni Filtering Panel is on the left-hand side of the Omni Workbench:
You can collapse/expand the Filter section:
Filter by Applications
The first filter allows you to filter by Applications.
View my apps
View my apps will filter you workbench to show all Applications/activities that you are currently delegated. In the following screenshot, Peter Packaging is logged in; and is filtered to "View My Apps".
Peter Packaging is logged in
He is filtered to View my apps
He is seeing Palmer Investment Property Application activities assigned to him
And John Harris Refinance activities assigned to him
He can see that he has 2 Applications with 8 tasks assigned to him
View by Channel
View by Channel will give you visibility of ALL applications in the channel, not just those that you have been delegated activities on. However what you see will depend on the other filters that you switch on/off. In the following screenshot, I have View by channel for Peter Packaging, but because he has an additional filter of Mine Only, he is still only seeing the 2 applications in this channel that he is delegated:
If I change the additional filter to All tasks, I can then see all the Omni records for the Channel:
You will note when you select View by Channel, that you get an additional selector dropdown to select the "channel". This is only useful if you have Channels that are configured to work together (like a funder + its whitelabel brands).
Filter by Tasks
Mine Only
Mine Only will filter your workbench so that you can see only those applications/activities that have been delegated to you. Peter Packaging has filtered to Mine Only and is seeing 2 applications, with 8 tasks, delegated to him:
All Tasks
All tasks will filter the Omni workbench to show every process, for every application in Omni:
You can then further filter, if you wish, by Status or Type of activity.
In the following, Peter wanted to see all Info Requests, that are In Progress, or Waiting, across all applications:
Select filter
Select allows you to filter to see what activities are with specific teammembers. In the following screenshot, Kate (Manager), is logged in and wants to see all Open Processes that are 'waiting on' Peter Packaging:
When you use this filter, you will get some more control options to filter to specific people:
Waiting On | Will filter to applications that are waiting on specific people, Roles or Teams. |
Assigned to | Will filter to applications that are assigned to specific people, Roles or Teams. |
Assigned By | Will filter to applications that are assigned by specific people, Roles or Teams. |
Delegated to | Will filter to applications that are delegated to specific people, Roles or Teams. |
Delegated By | Will filter to applications that are delegated by specific people, Roles or Teams. |
When you select any of the above, you are then able to filter further by People, Roles or Teams:
You can then add statuses and activities to your filters to filter further. eg in the following I want to filter to see all action items that are assigned to Peter and Complete (there are none):
However, if I change the filter to show me the Open action items for Peter:
Filter by Activity Status
Activity status will allow you to filter records and activities by their status:
You tick (or untick) to filter by specific statuses.
Filter by Activity Type
This allows you to filter by Activity Types:
Process | Processes are the core elements of an assessment workflow. If you filter by Process, you will see all the assessment activity for an application |
Action Items | Action Items are inside processes and are the core elements of an assessment workflow. Generally you will filter by Process + Action items for an application. If you filter by Action Items, you will see all the activity for an application |
Assessment | Assessment is another core element of an assessment flow - and takes you to the conditional/formal approval interface for an application |
Info Request | This will filter to all the "Missing Info Requests" that have been issued for an application |
Note | This will filter to all the Notes that have been issued for an application |
Backchannel | This will filter to all the Backchannel messaged that have been received for an application (generally in settlement workflow) |
eg in the following screen shot, I have filtered to see Activity Type "Backchannel" for an application that is in the settlement workflow, and I can see all the Backchannel messages and corresponding settlement actvity.
Using Filters together
Remember that each of the filters can work together, with all the other ones. So if you are not seeing what you think you should see, make sure you check the corresponding filters in case you have inadvertently ticked on or off an important element in the filters.
