Understand SingleOps role types like Admin and Operator, their default permissions, and how to adjust access.

Role Types & Descriptions

Each role is labeled below as either a Standard License or Limited License. Standard License roles require a paid license (per your contract), while the Crew Limited License is always free. See Manage Licenses for details.

Admin (Standard License)

Admin users have full access to features and functions within SingleOps. The only actions which are not available to Admin users are a few settings which require support from a SingleOps team member.

Operator (Standard License)

The Operator role was designed for Sales Reps or Foreman/Crew Managers. Operator users can Create and Edit Proposals/Jobs, Schedule Visits and Tasks, and access most Reports in SingleOps. Access to the Setup section of SingleOps is restricted for these users.

Crew (Limited License)

Crew users have very limited access to the system. They can view limited job, calendar, client, and timesheet information, ensuring they have the necessary details to execute work, but they cannot create or edit jobs nor access pricing information. This is the only role in the Limited License category.

Supply Managers and Vendors (Standard License)

These specialized roles are designed for managing Purchase Orders and possibly Inventory. Their access is limited to these areas and often Job Management (with Billable amounts hidden).

⚠️ SingleOps does not offer a dedicated read-only role. The roles listed above (Admin, Operator, Crew, Supply Manager, and Vendor) are the only account roles available. If you need limited or view-focused access, contact SingleOps Support to discuss which role and permission adjustments come closest to your needs.

Permission Adjustments

Adjustments can be applied to all User Roles. If applied to a role, all users will see the change. If you'd like to adjust, have the SingleOps account owner Submit a Request with SingleOps Support.

⚠️ These toggles only enable or restrict the specific permissions listed below, and any change applies to every user on the role — not to a single user. For example, enabling Only Display Assigned Visits or Only Display Assigned Tasks limits all users on that role. These adjustments cannot grant a role access beyond its default; to expand what a role can see or do beyond this list, the user needs to be assigned to a role that already includes that access.

Only allows users with this role to see visits that are assigned to them. Will not be able to pull up jobs / visits for which they are not an assignee.

Only Display Assigned Tasks **See Note Below

Only allows users with this role to see tasks that are assigned to them. Will not be able to pull up tasks for which they are not an assignee.

Can update billables complete

Allows the role to update billable quantities of items when marking a visit or job as complete.

Can change time on timesheet

Allows role to change time when adding timesheet events.

⚠️ Crew users can view all job notes by default. However, Internal Notes can be hidden by adjusting the account setting: Show Internal Notes to Crew Users?


User Cannot View Assigned Visits or Tasks

When a user cannot see Visits or Tasks to which he/she is assigned, it is most often due to an incorrect assignment of the Operations within the user configuration. To correct and update the operations for the user, follow these steps:

  1. Navigate to:mceclip0.png Setup > Users

  2. Click on the name of the user you wish to modify.

  3. Click the Operations dropdown to either correct an incorrect configuration, or to add additional operations to the user. You may also select All Operations if applicable.

  4. Click Update User to have your changes persist.

⚠️ Visibility issues are not always caused by Operations. A job's Sales Rep field and its Assignee field are separate, so a user can be the Sales Rep on a job without being an assignee (or the reverse) — check both when a user reports they cannot see a job. Separately, when an Operator opens a job assigned to a different sales rep, an "Unauthorized access to job" message is expected default behavior. Changing that behavior requires a permission adjustment from SingleOps Support with Admin approval.
