⚠️You must have Admin permissions to deactivate or activate a user in SingleOps.
In this article:
🛑 Deactivating a User will NOT reduce your bill. A SingleOps team member will need to remove licenses at the end of your contract term, in addition to deactivating a User, in order to impact billing. A User account cannot be deleted, only deactivated.
⚠️ Deactivating also doesn't reduce the number of licenses you've purchased, so a freed up paid license can be reused for a replacement Admin or Operator User. If all paid licenses are in use, the account owner may need to buy another one first. See Manage Licenses and Add or Edit a User.
What is a User?
In SingleOps, a User refers to an individual who has access to the platform. Users are assigned specific roles based on their responsibilities, which determine the type of access they have (see full list here). For example:
Admin Users | Full access to manage all areas of the platform. |
Operator Users | Limited access focused on daily operations like Job management. |
Crew Users | Access designed for field crews, available at no additional cost. |
Admin and Operator Users require a paid Standard license, and Crew Users (Limited licenses) are included in all tiered subscriptions. Refer to Manage Licenses for further detail.
Before Deactivating a User
Replacing someone who will use the same login email? Don't deactivate the User. Instead, update the existing User's name and personal details, since each email can only be used once. If the replacement needs a different email, deactivate the departing User and add a new one (subject to available licenses).
Deactivating removes the person's access but doesn't delete company level settings like email templates, item lists, or job settings. Those belong to your company, not the User.
Once a User is deactivated, they will be dropped from any events assigned to them. Please review all the Visits, Tasks, Routes, and Jobs assigned to this User.
You can use the Jobs Report to filter down using either the Sales Rep or the Assignee column to view a list of all of the work currently assigned to them.
Once found, assign the events to another User. Since deactivating removes the User from their assigned events, reassigning active work first keeps it from being missed.
Deactivating a User will not impact Labor Resources as Labor Resources do not have to be Users. If you are deactivating a crew foreman under which Labor Resources are assigned, we recommend moving those Labor Resources to another User first, then deactivating the crew foreman.
Deactivated Sales Reps & Assignees will still remain visible in reports with Sales Rep & Assignees columns, with the exception of the Sales by Sales Rep report.
