Getting started with timecards

Learn the basics of timecards in Workforce Management

Timecards are a record of the hours your employees have worked. In Workforce Management, timecard data flows in automatically from Shift4 Dine — so by the time you open the Timecards screen, your team's hours are already waiting for you to review.

Available to administrators and managers with the Manage Timecards permission.


How timecards work

Each time an employee clocks in and out via Shift4 Dine, a timecard is created automatically in Workforce Management. You don't need to manually enter hours — the data is synced directly, ready for review and approval.

Timecards contain a full record of each shift, including clock-in and clock-out times, breaks taken, and any compliance calculations that have been applied — such as overtime, missed meal break penalties, and rest break penalties. This gives you a complete picture of each employee's shift before you approve and export to payroll.

Timecards also serve as a permanent audit trail of hours worked, giving you a reliable record to refer back to in the event of a pay dispute or a labor compliance audit.


Step 1 — Review your timecards

Head to the Timecards screen to see all timecard data for the current pay period. Click on any individual timecard to view the full details, including clock-in and clock-out times, breaks, and total hours worked.

If you spot any discrepancies, timecards can be edited before they are approved.


Step 2 — Approve timecards

Once you're happy that the timecard data is accurate, you can approve timecards either individually or in bulk.

  • Individual approval — open the timecard and click Approve

  • Bulk approval — select multiple timecards and approve them in one action

Approved timecards are locked and ready to export to payroll.


Step 3 — Export to payroll

Once your timecards are approved, export them ready for payroll using the Export button. You can choose from a range of payroll provider formats, or use a custom export format if your provider isn't listed.
