How to limit access to specific sites

Limit each team member’s access so they only see and manage the specific sites you choose.

This article explains how account owners can limit team members’ access to specific sites, so they only see data and notifications for the locations they work with.


What site‑level access control does

As an account owner, you can restrict each team member’s access to specific sites. When you limit access, they will only see and be notified about the sites you give them access to.

If a team member has access to just one site, they will only see data for that site in Home, Analytics, Subscriptions and other site‑specific views. This helps keep information focused and reduces noise for teams that only work with certain locations.

💡 By default, every team member has access to all sites. You will need to update their access on the Team page if you want to restrict it.


How to limit a team member’s access from the Team page

⚠️ Only account owners can change which sites a team member can access.

Use the Team page to update access for existing team members.

  1. Go to Settings in the sidebar.

  2. Select the Team.

  3. Find the team member whose access you want to change.

  4. Click Sites next to their name.

  5. Deselect any sites you do not want them to access.

  6. Click Confirm to save the changes.

💡 Repeat this process whenever needed, for example, when a team member needs access to a site again.


How to choose sites when inviting a new team member

You can set site access when you invite someone new to your team.

  1. Go to the Team page.

  2. Click Invite team member.

  3. Enter the team member’s details.

  4. Under Sites, select the sites you want them to access.

  5. Send the invite.

🎉 The team member will only have access to the sites you selected once they accept the invitation.


How to see who has access to each site

You can quickly check which team members are linked to each site.

  • On the Sites page, select a site to see the team members who have access.

  • On an individual Site page, review the team list to confirm who is included.

💡 You can go straight to the team member settings by clicking the Edit button.

This helps you keep site access up to date as your team changes.


Examples of when to limit site access

Here are some practical ways to use site‑level access:

  • Regional managers: Give each manager access only to the sites they oversee.

  • On‑site staff: Limit staff to their own site so they only see relevant subscriptions and analytics.

  • External partners: Remove agencies and developers from all sites so they can only work with the Storefront or API.
