Pre-Qualifying Questions
As part of your branch Online Booking settings you can edit the pre-qualifying questions for applicants, automatically making sure every applicant meets your criteria before a viewing is confirmed.
The pre-qualifying questions feature allows you to create separate questionnaires for Sales and Lettings with the ability to add your own questions, hide the defaults and use conditional logic to determine who books straight in for a viewing and who’s flagged for review. Additionally all applicant responses are saved instantly in Street for you to review.
Setting up your pre-qualifying questions
You can setup your pre-qualifying questions from from within your Online Bookings (Branch) settings.
Head to Branch Settings > Online Bookings > Viewings > click the 'edit settings' dropdown and you will see the option to edit sales and lettings pre-qualifying questions.
Note - To access the pre-qualifying questions settings for the branch you will need to be a branch or company admin.
Both sales and lettings have several pre-set qualifying questions that cannot be edited or deleted however these can be hidden if you don't want to include them.
Editing the template title
You can edit the title of the pre-qualifying questions template by clicking into either the sales or lettings template and clicking the pencil icon at the top. This title is internal only and for your reference, it will not show to applicants.
Questions
By default, each template will have a list of pre-set questions including the most common questions for typical viewing qualification such as budget and mortgage status for sales or employment status and number of occupants for lettings.
These questions can be re-arranged, hidden and have rules added to them however it is not possible to delete default questions - if you don't want to use them, you should hide them instead.
Adding your own questions
You can add your own custom questions by clicking the '+ add question' button at the bottom of the template:
For each custom question you will need to enter a title and choose the type of question, eg short text, number, currency, single option etc which will determine what data the applicant can enter / select from.
If you select single or multiple option, you will additionally need to enter each answer option that an applicant should be able to select from. To delete an answer option, simply click the three dots on the right and click 'remove'.
Custom questions can be duplicated by clicking the 'copy' or deleted entirely by clicking the bin icon, both located at the top right of the question.
Rearrange and hide questions
Both default and custom questions can be hidden should you choose to not include them by clicking the 'hide question' toggle and the order of questions rearranged by hovering over the question and dragging and dropping via the dots:
Rules
Single or multiple option questions have the additional ability to add rules by clicking the 'add rule' button.
Note - The 'add rule' option will only show on single or multiple option questions. It will not show on any other question type.
Viewing booking or request
Within rules you can control whether an applicant should be able to book a viewing or only submit a request. For example, if you added a rule for the 'will there be smokers' question on the lettings template that said if the applicant selects 'yes', they will be unable to book a viewing directly and instead will submit a request for a viewing.
Viewing requests will appear in your Enquiry Centre to be reviewed, where all answers given will be shown.
To edit the a booking or viewing rule for a specific answer, click the three dots on the right of the answer.
Follow up questions
Additionally you can add follow up questions from within the 'add rule' button. These allow you to say, if the applicant answers in a specific way then show an additional question.
For example, a question that asks 'do you have a property to sell?' can have a follow up for 'if the buyer selects "yes" then show the additional question, 'what is the status of your current property'?
Note - While some pre-set questions have follow ups included, these cannot be edited. And custom follow up questions can only be added to custom questions, that are single or multiple option.
Publishing the pre-qualifying questions
When you are happy with the questions and ready to proceed, simply click the 'Publish' option at the bottom right to make the questions live. Going forward, when any applicant goes to book a viewing online they will be shown those questions.
Note - Until you click 'publish', your updated questions will not be live for applicants to see.
